What the PPTX format is

PPTX is the default XML-based presentation format introduced with Microsoft Office 2007. A .pptx file is a compressed package containing XML and related files for slides, text, images, charts, tables, speaker notes, animations, transitions, and embedded media.

What the PDF format is

PDF is a fixed-layout document format designed to preserve page geometry, fonts, graphics, and print appearance across operating systems and applications. PDF viewers are available on most computers, phones, and tablets, so recipients do not need the presentation software used to create the source file.

A standard presentation export creates one PDF page per slide. PDF preserves the rendered appearance but not editable slide objects, animation timelines, transitions, or presentation playback. Audio and video are normally omitted or represented only by a static poster frame. PDF files can still be edited with specialized PDF software, so the format is not a security substitute for access controls or encryption.

How to convert the presentation

Microsoft PowerPoint

  1. Open the .pptx file in PowerPoint and inspect the slide order in View → Slide Sorter.
  2. Choose File → Export → Create PDF/XPS, or choose File → Save As and select PDF as the file type.
  3. Open Options to select all slides or a range, include hidden slides, and choose slides, notes pages, handouts, or an outline where supported.
  4. Select Standard for higher-quality printing or Minimum size for a smaller screen-oriented file, choose a filename, and export or publish it.

PowerPoint is usually the best choice when the presentation contains complex layouts, SmartArt, equations, charts, fonts, or Microsoft-specific effects because it uses the source application's rendering engine.

LibreOffice Impress

  1. Open the file in LibreOffice Impress.
  2. Choose File → Export as PDF, or use the PDF toolbar button.
  3. Set the page range and, where available, image compression, resolution, notes or handout output, and PDF/A for archival use.
  4. Choose Export, enter a filename such as presentation.pdf, and save the file.

LibreOffice can also convert files from a terminal:

This writes the PDF to the directory named by --outdir. LibreOffice is useful when PowerPoint is unavailable, but its rendering may differ from PowerPoint's.
