A submission portal, printer, or records system may require a PDF instead of an editable office document. Exporting an ODT before sharing preserves pagination and reduces dependence on the recipient’s word-processing software.

What the ODT format is

ODT, or OpenDocument Text, is an open standard for editable word-processing documents. LibreOffice Writer, Apache OpenOffice Writer, and other OpenDocument-compatible applications create ODT files; they are common among open-source office-suite users and organizations that use open document standards.

An ODT file can contain formatted text, styles, tables, images, footnotes, headers, footers, fields, comments, and tracked changes. Its layout can change when opened on another system if fonts, application features, or linked resources differ.

What the PDF format is

PDF defines fixed pages containing positioned text, graphics, images, and page geometry. Fonts can be embedded in the file, allowing the document to retain its intended appearance even when the recipient does not have those fonts installed.

PDF is suitable for contracts, invoices, applications, publications, print files, and records that must retain pagination. It can contain searchable text, selectable content, hyperlinks, bookmarks, accessibility tags, form fields, encryption, and digital signatures, although the available features depend on how the PDF is created. PDF is generally less convenient to edit than ODT, but it is not inherently uneditable.

How to convert an ODT file to PDF

Desktop conversion with LibreOffice

1. Open the .odt file in LibreOffice Writer.
2. Check page size, margins, page breaks, images, tables, headers, footers, fields, and font substitution.
3. Choose File → Export as PDF, or select the PDF export button on the toolbar. Use PDF export rather than printing to a PDF printer when you need links, bookmarks, tagging, or other document structure to remain available.
4. In the PDF options, select the page range and image resolution. Enable Tagged PDF when available and required for accessibility. Select PDF/A only when the output is intended for archival use.
5. Choose Export, save the result with a name such as report.pdf, and open the PDF to inspect every page.

LibreOffice can also convert files without opening its graphical interface:

The command writes the converted file to ./pdf. Install LibreOffice first and use the executable name provided by the operating system; some installations use soffice instead of libreoffice. For multiple files, specify an input directory or run the command separately for each file, and confirm that the output directory exists.

Quality and compatibility checks

LibreOffice or the application that created and regularly edits the ODT usually provides the most predictable conversion. Microsoft Word and other office suites may open and export ODT files, but differences in styles, fields, page layout, and unsupported features can affect the result.

Missing fonts can alter line wrapping, pagination, and table dimensions. Macros are not normally reproduced as working PDF content, and unsupported fields, embedded objects, comments, or tracked changes may be rendered differently or omitted. Decide how tracked changes and comments should appear before exporting; accepting changes or removing review information may be necessary.

Inspect the generated PDF at normal and high zoom, paying particular attention to tables, equations, images, hyperlinks, page numbers, headers, footers, non-Latin characters, and blank or unexpectedly added pages. Search the PDF to confirm that text was exported as text rather than only as an image.

PDF/A is an archival profile that restricts features such as external dependencies, encryption, and some interactive behavior to improve long-term reproducibility. It can be unsuitable for forms, multimedia, or other interactive documents, so use it only when the archive or records policy requires it.
