A PDF is useful when tabular data must be printed, archived, or shared with people who do not use spreadsheet software. It fixes the visible page layout for review while the original TSV remains available for editing and analysis.

What the TSV format is

TSV (Tab-Separated Values) is a plain-text format in which each row occupies a line and each field is separated by a tab character. Database systems, laboratory instruments, reporting platforms, spreadsheet applications, and statistical tools commonly use TSV for data exchange.

TSV stores values rather than spreadsheet presentation. It does not retain formulas, cell colors, column widths, charts, multiple worksheets, or print settings. A TSV file can be opened in Microsoft Excel, LibreOffice Calc, Google Sheets, text editors, database tools, and other programs that support delimited text.

What the PDF format is

PDF (Portable Document Format) stores a document’s visual layout independently of the application, operating system, and hardware used to open it. Fonts, margins, page breaks, headers, footers, and table positioning can remain consistent for printing, email attachments, reports, invoices, and records.

PDF is a presentation format, not a replacement for structured tabular data. Its text may be selectable, but recipients generally cannot sort, filter, or reliably reimport a PDF as rows and columns. A PDF can also be edited with specialized software, so exporting does not provide absolute protection against changes.

Convert the file with a spreadsheet application

1. Open the .tsv file in Excel or LibreOffice Calc. If an import dialog appears, set the delimiter to Tab and verify in the preview that each field occupies the correct column.
2. Use the correct character encoding, usually UTF-8. Check accented characters, non-Latin scripts, symbols, and other text before continuing.
3. Inspect values that could be changed by automatic type detection, including ZIP codes, account numbers, identifiers with leading zeros, long integers, dates, times, and decimal values. Set affected columns to text before importing or correct them in the spreadsheet.
4. Set column widths, row heights, page size, margins, orientation, scaling, and print area. For wide tables, use landscape orientation, repeat the header row on each page, or divide the data into multiple sections instead of shrinking the text until it is unreadable.
5. Preview the page layout, then export or print to PDF. In Excel, use File → Export → Create PDF/XPS on supported Windows versions, or the PDF option in File → Save As or File → Print on other versions. In Calc, use File → Export as PDF and select the required page range and export settings.
6. Open the resulting PDF and check every page, especially the first and last columns, repeated headings, page breaks, special characters, and any truncated or wrapped values.

Quality and compatibility limits

• TSV is a delimiter convention rather than a full document specification. Inconsistent tabs, unexpected delimiters, embedded line breaks, malformed quoting, or damaged rows can produce incorrect columns during import.
• Spreadsheet programs may interpret values differently from the source system. Compare important totals and representative rows with the original TSV before exporting.
• Very wide or very long tables can create unreadable text, excessive page counts, or awkward page breaks. Landscape pages, wider paper, smaller margins, repeated headers, controlled print ranges, and separate report sections usually produce better results than extreme scaling.
• Missing fonts can substitute glyphs or display some characters incorrectly in the PDF. Use fonts that support the required scripts and verify the exported file on another device when compatibility matters.
• PDF export captures the displayed spreadsheet, not the TSV’s underlying structure or metadata. Keep the original .tsv file with the PDF when the data may need later analysis, filtering, or reprocessing.
