Convert XDW to PDF

A recipient, upload portal, or archive system may require PDF instead of a Fuji Xerox or FUJIFILM DocuWorks file. Converting the document provides a format that most operating systems can display, print, and store without DocuWorks.

What the XDW format is

XDW is the proprietary document format used by Fuji Xerox, now FUJIFILM Business Innovation, DocuWorks. DocuWorks users commonly use it for scanned paperwork, office documents, multi-page files, annotations, stamps, and page organization. An XDW file can contain text, images, and DocuWorks-specific objects; it is not simply a renamed PDF or image file.

DocuWorks binders may use the XBD extension. Open an XBD binder in DocuWorks and export its required pages or documents separately; an XDW converter may not accept XBD directly.

What PDF provides

PDF is a standardized page-description format designed to preserve page size, positioning, fonts, images, and print layout across operating systems. Free PDF readers are available for Windows, macOS, Linux, iOS, and Android, so recipients do not need DocuWorks.

PDF is suitable for email, web uploads, printing, and long-term document storage. It can contain selectable text, bookmarks, hyperlinks, metadata, encryption, and digital signatures, although a conversion does not automatically create all of these features. PDF is not necessarily smaller than XDW, and it is generally less convenient for editing than the original DocuWorks file.

Convert with DocuWorks

Using the current FUJIFILM DocuWorks application is normally the most reliable method because it can interpret DocuWorks pages and annotations directly.

1. Open the XDW file in DocuWorks Desk or DocuWorks Viewer and confirm that all pages, images, and annotations display correctly.
2. Select the document or the required pages. Use File → Export → PDF if that command is available in the installed version.
3. Choose the destination, page range, and available PDF options, then save the file and open it in a separate PDF reader for verification.

Menu names and PDF export availability vary by DocuWorks version and license. If direct export is unavailable, use File → Print, select DocuWorks PDF if installed, or select Microsoft Print to PDF on Windows, choose the paper size and page range, and save the print output as a PDF.

Use an online converter

Services such as Zamzar and Convertio advertise XDW-to-PDF conversion. Their supported extensions, file-size limits, and processing policies can change, so confirm that the upload page explicitly lists .xdw before submitting a file.

1. Open the provider's XDW-to-PDF page and upload the XDW file.
2. Select PDF as the output format and start the conversion.
3. Download the result promptly, inspect every page, and delete the uploaded and converted files from the service if that option is provided.

Do not upload confidential, regulated, or legally sensitive documents unless the service's retention, encryption, and deletion terms meet your requirements. Online conversion also requires an internet connection and may fail on large, password-protected, damaged, or unusual XDW files.

Quality and compatibility limits

• Annotations and stamps: DocuWorks annotations may become fixed page content in the PDF rather than editable PDF annotations. Links, layers, custom stamps, and other DocuWorks-only objects may be lost or flattened.
• Searchable text: A scanned XDW produces an image-only PDF unless the source already contains text or OCR is run during or after conversion. Image-only PDFs cannot be searched or copied reliably.
• Fonts and layout: Missing fonts, unsupported paper sizes, transparency, rotation, or printer-driver settings can change line wrapping, margins, colors, or pagination. Native export usually preserves layout better than printing.
• Security: Password protection, restricted printing, digital signatures, or damaged content can prevent export. Do not bypass document permissions without authorization.
• Archiving: If a records system requires archival compliance, create the required PDF/A variant and validate it separately; an ordinary PDF export is not automatically PDF/A-compliant.

Keep the original XDW when its annotations, editability, or DocuWorks metadata may be needed later. Compare the PDF's page count, orientation, text search, images, annotations, and printed output before distributing it.
