What the XLS format is

.xls is Microsoft Excel’s legacy binary spreadsheet format, primarily associated with Excel 97–2003. It stores worksheets with cells, formulas, formatting, charts, images, and, where permitted, macro code. Microsoft Excel, LibreOffice Calc, and older spreadsheet applications can open or create XLS files; they remain common in archived business records, exported reports, and systems built around older software.

What the PDF format is

PDF is a fixed-layout document format designed to preserve page appearance across operating systems, applications, and printers. It is suitable for reports, invoices, forms, submissions, and archives because recipients can view the result without the original spreadsheet application. A PDF normally preserves displayed values and formatting, but not the workbook’s formulas, cell structure, filtering, or convenient spreadsheet editing features.

How to convert the file

Microsoft Excel

Open the XLS file and check every worksheet, including formulas, charts, images, hidden rows, and hidden columns.
Set the required print area, paper size, orientation, margins, page breaks, and scaling under Page Layout. Use landscape orientation or Scale to Fit for wide tables.
Choose File → Save As or File → Export → Create PDF/XPS, then select PDF as the file type.
In the PDF options, choose the active sheet or sheets, the entire workbook, or the selected range, depending on what must be included. Save the output with a .pdf filename.

Use File → Print and select Microsoft Print to PDF on Windows when print preview provides a more useful way to inspect page breaks, clipping, and scaling. Excel 2007 and later generally provide native PDF export; older Excel versions may require printing through an installed PDF printer.

LibreOffice Calc

Open the XLS file in Calc and review any compatibility warning.
Adjust page styles, page breaks, scaling, and print ranges under Format → Page Style and Sheet → Print Ranges.
Choose File → Export as PDF, select the required sheets and image settings, and click Export.

For batch conversion on a system with LibreOffice installed, run:

libreoffice --headless --convert-to pdf --outdir output file.xls

The command writes the PDF to output, but it generally uses the workbook’s existing print ranges and page settings. Configure and test those settings first if the output layout matters.

Quality and compatibility limits

Export does not automatically make a large worksheet readable. Inspect print preview for clipped columns, blank pages, broken page breaks, repeated headings, and text that has become too small.
Multiple worksheets may become separate PDF pages, or may be omitted, depending on whether the export targets the active sheet, selected sheets, selected cells, or the entire workbook.
Unavailable fonts can change line wrapping, row heights, and page breaks. Use fonts installed on the conversion computer, and embed fonts where the selected PDF workflow supports it.
Formulas are exported as their displayed results; VBA macros are not carried into the PDF as executable code. Recalculate the workbook before export if current formula results are required.
Hidden sheets, hidden rows, print areas, filtered data, workbook protection, and page-break settings can affect what appears in the PDF. Review these deliberately rather than assuming the visible workbook view defines the export.
For archival use, open the resulting PDF, verify its page count and visual content against the intended print range, and retain the original XLS if formulas or future editing must remain available.
