Many upload portals, printers, and recipients require PDF instead of an editable .wps document. PDF fixes the page layout for viewing, printing, and archiving on systems that may not have compatible word-processing software.

What the WPS format is

.wps is an ambiguous file extension. It is most commonly associated with Microsoft Works Word Processor, discontinued in 2009, but it has also been used by WPS Office Writer. These are different formats despite sharing the same extension.

Microsoft Works files are legacy documents and can be difficult to open in current software. WPS Office files generally open best in WPS Office Writer. Identify the program that created the file before choosing a desktop converter.

What the PDF format is

PDF is a fixed-layout document format. It can preserve page size, text placement, images, vector graphics, fonts, and pagination across Windows, macOS, Linux, mobile devices, browsers, and printers.

A PDF is suitable when recipients should view or print a document without changing its layout. PDFs can contain selectable and searchable text, links, annotations, embedded fonts, password protection, digital signatures, and accessibility tags, depending on the export settings and source document.

Convert a WPS file to PDF

If the document was created in WPS Office and opens correctly in WPS Office Writer, export it directly:

LibreOffice Writer and Apache OpenOffice should only be used after confirming that they open the particular file correctly. Their support for legacy Microsoft Works .wps files is limited and version-dependent; a successful import must be checked before export. In LibreOffice, use File → Export As → Export as PDF after reviewing the imported document.

Quality and compatibility checks

Missing fonts can alter line wrapping, table widths, page breaks, and pagination. Convert on a system with the original fonts installed where possible, or replace unavailable fonts and recheck the layout before exporting.

Review files containing text boxes, complex tables, embedded objects, linked images, tracked changes, or macros. PDF preserves the rendered result, not editable macros, embedded spreadsheet behavior, or other active document features.

For searchable output, confirm that text can be selected in the finished PDF. For accessibility or archival requirements, enable tagged PDF or PDF/A options when the exporting program provides them, then verify reading order, headings, links, and image descriptions.
