What the PDF format is

PDF is a fixed-page document format designed to keep a document's visual layout consistent across operating systems, printers, and PDF readers. A PDF can preserve the printed tables, charts, headers, footers, page numbers, and page breaks from a spreadsheet.

PDF readers do not treat the output as a workbook: formulas are represented by their displayed results, and standard readers cannot recalculate formulas, edit cells, sort data, or use spreadsheet filters. PDF files can still contain selectable text, searchable content, links, and accessibility tags when the exporting software creates them.

Convert an ODS file to PDF

For control over pagination and print settings, export from LibreOffice Calc:

  1. Open the .ods file in LibreOffice Calc.
  2. Review the required sheets in File → Print Preview.
  3. To export only part of a sheet, select the cells and set a print range in Sheet → Print Ranges → Set Print Range. Some older LibreOffice versions place this command under Format → Print Ranges.
  4. Set paper size, orientation, margins, headers, footers, and scaling in Format → Page Style. On the Sheet tab, use scaling to fit wide tables to a chosen number of pages.
  5. Select File → Export As → Export as PDF.
  6. Choose the page range and any required PDF options, then save the file.

For batch conversion on a computer with LibreOffice installed, use:

The command writes workbook.pdf to ./output. Create the output directory before running the command and test representative files before automating a large batch.

Layout and compatibility checks

PDF export uses the spreadsheet's print layout. Only the sheets, print ranges, and pages included by the workbook's print settings are exported. A missing print range can omit data; a wide range can split columns across pages or shrink text excessively.

Check the exported PDF for page count, column breaks, chart placement, totals, repeating headers, and legibility. Avoid fitting many wide columns onto one page if it makes the text too small; landscape orientation, larger paper, or multiple pages may produce a more usable result.

Hidden sheets are normally not printed. Hidden rows, filtered-out rows, gridlines, and comments depend on the spreadsheet application's print settings, so do not assume they will appear in the PDF.

Fonts missing on the conversion computer may be substituted, changing text width, line wrapping, and page breaks. Export on the system that prepared the workbook, or install the same fonts, when exact pagination matters. Macros, form controls, formula logic, and interactive spreadsheet features are not preserved as usable workbook features in the PDF.
