How to convert xfd to pdf file

A recipient may need a printable copy of an IBM form without installing its original forms software, or an organization may need a PDF for ordinary document archiving. Printing an XFDL form to PDF preserves its rendered pages, but normally removes field logic, validation, and interactive signature behavior.

What the XFD format is

.xfd commonly identifies an IBM XFDL (Extensible Forms Description Language) document, an XML-based form format used by IBM Lotus Forms and IBM Forms applications. Government, enterprise, and workflow systems used XFDL for structured forms with fields, calculations, validation rules, conditional sections, attachments, and digital signatures.

The extension is not exclusive to IBM XFDL. If the file’s source is unknown, open a copy in a text editor and look for an XML root element such as <XFDL>. Do not edit and resave the original signed or completed file; even harmless XML changes can invalidate stored data or signatures.

What the PDF format is

PDF is a page-oriented format designed to preserve document appearance across operating systems, printers, and common viewing software. It is suitable for sharing, printing, and archiving when recipients do not have IBM Forms software. A PDF generated from XFDL is usually a visual representation rather than an editable electronic form.

How to convert XFD to PDF

Using IBM Forms Viewer

  1. Install the IBM Lotus Forms Viewer or IBM Forms Viewer version compatible with the file and your operating system. IBM Forms products are discontinued in many environments, so obtain the software from an organization-approved repository or verified IBM support source, not an untrusted download site.
  2. Open a working copy of the file, such as application.xfd, in the viewer.
  3. Complete required fields if necessary, then check calculated values, conditional content, page breaks, and any pages intended for printing.
  4. Choose File → Print. If the viewer offers File → Export → PDF, use that option instead.
  5. For printing, select Microsoft Print to PDF on Windows, Save as PDF in the macOS print dialog, or a configured PDF printer on Linux.
  6. Set the correct paper size, orientation, and page range, then save the output as application.pdf. Inspect the saved PDF page by page.

A system PDF printer is often the most practical method because legacy IBM viewers may not include a modern direct PDF export command. Adobe Acrobat can create a PDF from printed output, but it does not natively interpret XFDL field logic and is not a replacement for an IBM XFDL viewer.

Using an online converter

Services such as CloudConvert, Zamzar, and Convertio support many common formats, but support for IBM XFDL can vary or be absent. Use one only if its current input-format list explicitly includes XFD or XFDL, and confirm that the resulting PDF opens correctly. Do not upload forms containing personal, financial, medical, government, or confidential workflow data unless the service and your organization’s policy permit it. For sensitive or structurally complex forms, local conversion through the IBM viewer and a PDF printer is the safer option.

Quality and compatibility limitations

  • PDF output normally preserves appearance, not XFDL behavior. Calculations, validation, conditional sections, field controls, workflow actions, and attachments may become static or be omitted.
  • A printed signature image may appear in the PDF, but the original XFDL signature generally cannot remain cryptographically valid in a newly created PDF. Retain the original signed file and its audit records when legal or compliance requirements apply.
  • Fonts, viewer version, paper size, printer margins, and scaling settings can change pagination. Install required fonts where possible, disable unintended scaling, and compare every PDF page with the viewer’s print preview.
  • If the file opens only as raw XML or its root element is not an IBM XFDL element, it may belong to another application that uses the .xfd extension. Use the software that created that variant instead of treating it as an IBM form.
  • If the PDF must remain searchable or accessible, verify text selection, reading order, form labels, and contrast after conversion; a print workflow can produce a flattened or poorly tagged PDF.

No, the signature is tied to the original XFDL file and is not preserved as the same verifiable signature in a newly created PDF. Keep the original signed XFDL alongside the PDF for verification.

Does converting XFDL to PDF keep the form fields editable?

Usually not; the PDF is a printable representation, so XFDL field behavior, submission rules, and XML form structure may be flattened or lost. The result may contain visible text and form values without retaining the original form logic.

Why does my XFDL-to-PDF conversion have changed text wrapping or missing content?

This usually happens when fonts or other resources used by the XFDL are unavailable, causing substitutions and layout changes. Missing resources can also leave parts of the rendered form blank.

Can I convert the PDF back to the original XFDL form?

No, converting back generally cannot reconstruct the original XFDL fields, form logic, embedded resources, or digital signature. The PDF should be treated as a separate print-oriented copy, not an editable replacement.
