Many upload portals, print workflows, and recipients require slides as PDF rather than an editable PowerPoint file. A PDF also provides a fixed page layout for viewing and archiving when the recipient may not have the original fonts or presentation software.

What PPT files contain

PPT is the legacy binary presentation format used by Microsoft PowerPoint 97–2003. It can store slides, text, images, charts, speaker notes, animations, transitions, embedded objects, and media references.

Microsoft PowerPoint opens PPT files, as do LibreOffice Impress and Apache OpenOffice Impress with varying compatibility. Current PowerPoint versions normally save presentations as .pptx, an XML-based format, but .ppt remains common in older archives and materials supplied by legacy systems.

What PDF provides

PDF is a fixed-layout document format intended to retain page appearance across operating systems and PDF readers. A presentation export normally creates one PDF page per slide; text, vector artwork, and images are retained where the exporting application supports them.

PDF is appropriate for printing, portal submission, distribution, and records that should not be edited as a slide deck. The exported file is not a replacement for the original presentation: slide editing, animations, transitions, and most interactive features are not retained.

Convert a PPT file to PDF

To convert without installing software, upload the .ppt file to the converter on 101convert.com, select PDF as the output format, start the conversion, and download the resulting file. Do not upload presentations containing confidential information unless their handling and upload are permitted.

Microsoft PowerPoint usually gives the closest rendering for files originally made in PowerPoint:

1. Open the .ppt file in PowerPoint and resolve any compatibility warnings.
2. Inspect slides for missing fonts, images, charts, and shifted objects.
3. Select File → Export → Create PDF/XPS, then select Create PDF/XPS.
4. Choose Standard for printing or detailed graphics, or Minimum size when a smaller file is more important than image quality.
5. Set the filename and select Publish.

PowerPoint for Mac provides PDF export through File → Export; select PDF as the file format. Export settings can also provide slides, handouts, notes pages, or outline output depending on the PowerPoint version. A normal slide PDF does not include speaker notes.

In LibreOffice Impress, open the presentation and select File → Export As → Export as PDF. Set image compression or resolution in the PDF options dialog if necessary, then select Export.

For batch conversion with LibreOffice installed, run:

libreoffice --headless --convert-to pdf --outdir output presentation.ppt

Create the output directory first. The command writes presentation.pdf there; use full paths when the input file is outside the current directory.

Rendering and compatibility checks

PDF export preserves a static representation of each slide, not the presentation behavior. Animations, transitions, triggers, embedded video or audio playback, and interactive chart controls are omitted or reduced to the visible state selected during export.

Fonts unavailable on the conversion computer can be substituted before export, changing line breaks and object positions. Export from the computer that has the presentation's fonts installed; PDF export commonly embeds eligible fonts, but font-licensing restrictions can prevent embedding.

PowerPoint-specific SmartArt, charts, transparency effects, linked files, and embedded OLE objects may render differently in LibreOffice or other non-Microsoft software. Review the finished PDF at 100% zoom, especially slides with small text, overlapping objects, custom fonts, complex diagrams, or photographs. Use the standard-quality export setting for print copies and detailed images.
