Convert IWB to PDF

A PDF is needed when an interactive-whiteboard lesson must be printed, emailed, archived, or opened on a device without the original classroom software. Conversion usually requires the whiteboard application that created the file, because PDF retains the visible pages but not the complete interactive lesson.

What the IWB format is

.iwb commonly denotes the Interactive Whiteboard Common File Format, an interchange format used for lesson pages containing handwriting, shapes, images, text, hyperlinks, and other objects. The format was intended to move lessons between whiteboard systems, but support for individual objects varies by application and version; the extension alone does not guarantee complete compatibility.

IWB files are used by schools, trainers, and presenters with systems such as SMART Board, Promethean ActivInspire, and other interactive-whiteboard software. SMART Notebook normally uses .notebook for its native files, while ActivInspire commonly uses .flipchart; either application may also import or export IWB files when the installed version supports the format.

What the PDF format is

PDF stores a document’s page layout in a form supported by browsers, operating systems, print services, and most office and document applications. It is suitable for distributing static lesson handouts, preserving a print-ready copy, and sharing pages with recipients who do not have the source whiteboard software.

PDF conversion generally preserves visible text, drawings, images, and page arrangement. It may not preserve editing objects, animations, page transitions, hidden layers, presenter notes, embedded audio or video, or whiteboard-specific tools. Keep the original IWB file for future editing.

Convert IWB with the source application

1. Identify the application and version that created or exported the file. Ask the sender if the source is unknown; .iwb does not identify one guaranteed converter.
2. Open the file in compatible software. For a SMART lesson, try a supported version of SMART Notebook; for a Promethean lesson, try ActivInspire. For a Common File Format file, another whiteboard application that explicitly lists IWB import may work, but unsupported objects can be lost.
3. Use the application’s PDF command, such as File → Export → PDF or File → Export As → PDF. Choose the page range, orientation, paper size, image quality, and output location when those settings are available.
4. If no PDF export exists, choose File → Print, select Microsoft Print to PDF on Windows or PDF → Save as PDF on macOS, then set the page range, paper size, and orientation before saving.
5. Open the resulting PDF and inspect every page for substituted fonts, cropped objects, missing images, incorrect scaling, unreadable handwriting, and blank or reordered pages.

Installing the relevant desktop application is preferable to changing the filename. Renaming lesson.iwb to lesson.pdf changes only the name and does not convert the file. If a current application rejects an older file, use the legacy version associated with the original whiteboard system or ask the sender to export the lesson again.

Use an online converter

Services such as CloudConvert and Zamzar are reasonable options only when their current conversion page explicitly lists IWB as an input and PDF as an output. Support can change, and a service may handle only some IWB variants; do not assume that a general file-conversion page supports this format.

Upload the file, select PDF, start the conversion, download the result, and check the pages against the original. Do not upload student records, unpublished teaching materials, personal data, or confidential commercial content unless the service’s retention and deletion terms meet the required policy. A local desktop conversion avoids sending the lesson to a third party.

Quality and compatibility limits

• Animations, transitions, audio, video, live links, and interactive controls are commonly flattened, omitted, or reduced to their visible state.
• Objects unsupported by the importing application may disappear or change position. A file exported from one vendor’s software may not reproduce identically in another vendor’s software.
• Fonts missing from the conversion computer can be substituted, changing line breaks, handwriting appearance, or object alignment.
• Printing captures the rendered printable page and can omit hidden layers, presenter notes, document metadata, or objects outside the page boundary.
• For editable preservation, retain the original IWB file, any native source file such as .notebook or .flipchart, and the compatible application version alongside the PDF.
