Convert ODB to XLS

Recipients may require an Excel 97–2003 workbook, or database records may need spreadsheet editing, filtering, reporting, or sharing. Converting the file exports selected ODB tables or query results; it does not turn the entire database structure into a single worksheet.

What the ODB format is

.odb is the OpenDocument Database format used by LibreOffice Base and Apache OpenOffice Base. An ODB file can contain tables, queries, forms, reports, relationships, and connection settings; its data may be embedded in the file or stored in an external database accessed through a driver.

ODB files are used for small desktop databases, Base forms, and database exchange between LibreOffice or OpenOffice users. ODB is not a spreadsheet format, and Excel does not generally open it as a workbook. If the file came from a different product, verify its source before attempting conversion because the .odb extension can represent formats other than a Base database.

What the XLS format is

.xls is the legacy Microsoft Excel 97–2003 workbook format. It remains useful for older Excel installations, reporting systems, spreadsheet viewers, and applications that reject .xlsx.

XLS stores worksheets, cell values, formulas, formatting, and some charts, but it cannot preserve Base relationships, forms, reports, indexes, validation rules, or query definitions. Use .xlsx instead when the receiving application supports it, unless XLS is specifically required.

How to convert an ODB file with LibreOffice

1. Install LibreOffice and open the database through File → Open. Select the .odb file.
2. In the Base window, open Tables or Queries, then open the table or query containing the required records. A query is preferable when the export needs filtering, sorting, calculated fields, or joined data.
3. Select the displayed records with Edit → Select All and copy them with Edit → Copy.
4. Open LibreOffice Calc, select cell A1, and paste the records. Check headings, dates, decimal separators, blank values, character encoding, and column types.
5. Choose File → Save As, select Excel 97–2003 (*.xls), and confirm Use Excel 97–2003 Format when LibreOffice shows the format warning.
6. Export each required table or query separately, using separate worksheets or workbooks as appropriate. Related tables must be joined or otherwise restructured before they can be represented in a flat worksheet.

LibreOffice is the most practical local option because it can read Base ODB files and write XLS files without sending database contents to a third party. An ODB file connected to an external database may require the original database driver, credentials, network access, and a working connection before its tables can be opened.

Using CSV as an intermediate format

For a simple table or query, copy the result from Base into Calc and use File → Save As to create a .csv file first. Reopen the CSV in Calc, select the correct delimiter and UTF-8 encoding, verify the column parsing, and save the corrected sheet as Excel 97–2003 (*.xls). CSV is useful for troubleshooting delimiter or encoding problems, but it stores only values and does not retain formulas, formatting, relationships, or database metadata.

Online converters and compatibility limits

Most mainstream online conversion services do not reliably support LibreOffice Base ODB files; services that accept ordinary spreadsheets may reject ODB or interpret only part of its contents. Uploading a database can also disclose personal or confidential records. Use a local LibreOffice conversion unless a controlled service explicitly supports this ODB variant and satisfies the required data-protection rules.

XLS is limited to 65,536 rows and 256 columns per worksheet. Split larger exports across worksheets or use XLSX. After saving, check dates, leading zeros, long identifiers, currency values, non-ASCII text, null values, and formulas because spreadsheet applications can reinterpret database types. Primary keys, indexes, relationships, constraints, forms, reports, macros, and query logic must be recreated separately; the XLS file normally contains only the exported tabular result.
