Convert VSD to XLS

A spreadsheet is useful when data from a Visio diagram must be sorted, filtered, or imported into software that requires the legacy Excel format. The conversion extracts diagram data into worksheet rows; it does not turn the original drawing into an editable Excel diagram.

What the VSD format is

.vsd is the binary drawing format used by Microsoft Visio, especially in Visio 2003–2010 and older document archives. It stores flowcharts, organization charts, network diagrams, floor plans, process maps, connectors, layers, shape properties, and custom shape data.

Visio creates and edits VSD files. The format contains drawing objects rather than worksheet cells, so a VSD-to-XLS operation must extract selected shape information such as names, labels, IDs, coordinates, categories, custom properties, or connector data.

What the XLS format is

.xls is the binary Microsoft Excel workbook format used by Excel 97–2003. It supports worksheets, formulas, formatting, charts, filters, and tables, and remains useful when a legacy application or import system does not accept .xlsx.

XLS can store tabular information extracted from a VSD, but it cannot preserve Visio page layout, connectors, stencils, themes, layers, or editable shape geometry. If the recipient accepts .xlsx, that format is preferable because it supports larger worksheets and newer Excel features.

How to convert VSD to XLS

Using Microsoft Visio and Excel

1. Open the .vsd file in a desktop edition of Microsoft Visio. Save a working copy if the file is being opened by a newer Visio release.
2. Open Visio's report or data-export feature. Depending on the version, use Review → Reports, or Data → Export to Excel. Older versions may place reporting under Tools → Reports.
3. Create or select a report, then specify the page or pages, shapes, and properties to include. Typical fields are shape name, text, master, ID, category, position, and custom shape data.
4. Run the report and choose an Excel output option when Visio provides one. Newer Visio versions may create an .xlsx workbook.
5. Open the result in Microsoft Excel and select File → Save As. Choose Excel 97-2003 Workbook (*.xls), confirm the compatibility warning, and inspect the saved workbook.

Menu names and available export formats vary by Visio edition. If direct Excel export is unavailable, export the report as a supported tabular format such as CSV or XML, open it in Excel, check the columns and encoding, and save it as .xls.

Using an online converter

Online services such as Zamzar or Convertio may list VSD as an input and XLS as an output, but format availability and conversion behavior can change. Upload the file only after confirming that the service currently supports both extensions, choose XLS, run the conversion, and open the result in Excel for verification.

Online conversion is less suitable for confidential diagrams, personal data, engineering plans, or files covered by contractual restrictions. Check the provider's retention and deletion terms; an online converter may extract only text and simple tabular properties rather than the full Visio object model.

Quality and compatibility limits

This is normally data extraction, not visual conversion. The XLS file may omit drawing appearance, page dimensions, connectors, layers, grouped-object relationships, stencils, themes, and shape geometry. A result containing an image or a flattened table is not an editable representation of the original Visio drawing.

Check column headings, blank properties, duplicate rows, dates, decimal separators, formulas, and character encoding after export. Visio reports can include one row per shape, so grouped shapes or connector objects may produce more rows than expected.

The XLS format is limited to 65,536 rows and 256 columns per worksheet. Large diagrams may exceed those limits or require separate worksheets. Save as XLSX instead when the receiving system supports it; use XLS only when compatibility with older software requires the binary workbook format.
