A research database, screening workflow, or archive may require citation records as editable spreadsheet rows rather than tagged text. Converting the records to XLSX makes them easier to filter, review, share, and use in Excel-compatible software.

What the NBIB format is

NBIB is a plain-text bibliographic format used by PubMed and other NCBI citation exports. It stores tagged MEDLINE-style fields such as authors, title, journal, publication date, abstract, PMID, DOI-related identifiers, and MeSH terms. Records commonly contain tags such as PMID-, TI -, and AU -.

PubMed creates an NBIB file through Send to → Citation manager. Reference managers can also import or export NBIB. The file contains citation metadata; it does not contain the cited article's PDF or full-text content.

What the XLSX format is

XLSX is the XML-based spreadsheet format used by Microsoft Excel and supported by LibreOffice Calc, Google Sheets, and other spreadsheet applications. A conversion normally places one citation per row and fields such as PMID, title, journal, year, DOI, authors, and abstract in separate columns.

XLSX supports sorting, filters, formulas, multiple worksheets, cell formatting, and structured data exchange. These features suit screening lists, deduplication, bibliometric reports, and controlled editing of citation metadata.

How to convert NBIB to XLSX

Using Zotero and LibreOffice Calc

1. Install and open Zotero, then choose File → Import.
2. Select the .nbib file and complete the import. Check that the expected records, authors, identifiers, dates, and abstracts are present.
3. Select the imported items, open the item context menu, and choose Export Items. Select CSV as the export format and save the result as citations.csv.
4. Open citations.csv in LibreOffice Calc. In the import dialog, select UTF-8, verify the delimiter and text qualifier, and confirm that the preview separates fields correctly.
5. Choose File → Save As, select Excel 2007–365 (.xlsx), and confirm the format.

Zotero interprets NBIB tags and repeated fields before the spreadsheet program creates columns. The exact CSV columns depend on the export translator and the fields present in the records.

Quality and compatibility caveats

• NBIB allows repeated values, particularly authors, affiliations, keywords, and subject headings. An XLSX conversion may join them in one cell, distribute them across columns, or omit fields, depending on the converter.
• Set PMID, DOI, and other identifiers to text when exact character preservation matters. Numeric formatting can remove leading zeroes or alter long identifier values.
• Use UTF-8 when opening the intermediate CSV to preserve accented names, non-English titles, and other special characters.
• Abstracts and notes may contain line breaks, tabs, or long text. Check several converted rows and enable text wrapping where needed. Spreadsheet applications also impose cell-size limits, so exceptionally long fields may be truncated or rejected.
• Review duplicate records, author formatting, dates, and identifier columns after export. XLSX preserves the converted table, not every NBIB tag, continuation rule, or reference-manager relationship.
