People convert BIB bibliographies to XLSX when they need to sort, edit, audit, or share reference records in Excel or another spreadsheet application. The workbook can also add tracking columns for review status, tags, notes, costs, or publication progress.

What the BIB format is

.bib is the BibTeX bibliography format used by LaTeX, BibTeX, Biber, and related document systems. A BIB file is plain text containing records for books, journal articles, conference papers, websites, theses, and other publications. Records commonly contain a citation key and fields such as author, title, year, journal, publisher, doi, and url.

Researchers, students, publishers, and technical authors use BIB files with citation systems and reference managers. JabRef, BibDesk, Zotero, and similar applications can import or export BibTeX data. BIB is structured text rather than a spreadsheet: entries can use different fields, contain multiple authors, include nested braces, and preserve LaTeX commands or escaped characters.

What the XLSX format is

.xlsx is the Office Open XML spreadsheet format used by Microsoft Excel and supported by LibreOffice Calc, Apple Numbers, and many data-processing applications. It stores worksheets with rows, columns, cell values, formulas, formatting, filters, and optionally charts.

XLSX is useful for sorting references by author or year, filtering by publication type, checking duplicate records, and sharing tabular data with people who do not use BibTeX. It does not preserve BibTeX citation syntax or replace the citation-generation workflow provided by BibTeX or Biber.

Convert BIB to XLSX online

4. Open the workbook in Excel or LibreOffice Calc and check field names, author lists, accented characters, URLs, abstracts, and multiline values.

This option requires no installed software. Do not upload confidential or unpublished bibliographic data unless the service’s handling policy is acceptable, and retain the original BIB file because conversion can flatten fields or leave BibTeX markup unchanged.

Convert with JabRef and LibreOffice Calc

JabRef is useful for parsing and checking a BIB file, but its export options vary by version and commonly produce CSV rather than a native XLSX workbook.

1. Open the BIB file in JabRef and resolve parsing errors or missing fields shown by the application.
2. Choose File → Export → Export all entries, select a CSV-compatible format, and save the result as references.csv.
3. Open the CSV in LibreOffice Calc. In the import dialog, select the delimiter used by the export, usually comma or tab, and enable quoted-field handling.
4. Verify that titles containing commas, author lists, abstracts, URLs, and DOI values remain in the intended cells.
5. Choose File → Save As, select Excel 2007–365 (*.xlsx), and save the workbook.

Excel can open the CSV directly, but importing it through Calc or Excel’s text-import dialog lets you specify the delimiter and character encoding before saving as XLSX.

Automate recurring conversions

For repeatable jobs, parse the BIB records with a BibTeX-aware library instead of splitting lines at commas or braces. For example, a Python workflow can use:

Define a fixed column order such as citation_key, entry_type, author, title, year, journal, publisher, doi, and url, then write the table with:

A parser is necessary because BibTeX values can contain commas, quoted text, nested braces, escaped characters, and multiline content.

Quality and compatibility limits

• Field variation: A spreadsheet column exists only when the conversion maps that BIB field. Custom fields may be omitted, combined, or placed in a generic column.
• Author and editor structure: BibTeX separates names with and and uses name-order rules. XLSX exports often keep the complete author or editor list in one cell.
• LaTeX markup: Commands such as \textit{...}, accent escapes, and capitalization braces may appear literally in the workbook. Unicode conversion or manual cleanup may be required.
• Duplicate entries: Conversion normally does not deduplicate records. Compare DOI, ISBN, citation key, or normalized title after export.
• Encoding: Check accented names and non-Latin text after CSV import; selecting the wrong character encoding can corrupt them.
• Round trips: Editing XLSX and converting it back does not reliably recreate the original BIB syntax, citation keys, entry ordering, or formatting. Keep the BIB file as the authoritative source.
