How to convert gsheet to xlsx file

A recipient, upload form, or desktop application may require an offline Excel workbook instead of a Google Sheets link. Exporting to .xlsx also creates a local copy for editing, submission, or archiving.

What the GSHEET format is

.gsheet is a Google Drive shortcut associated with a Google Sheets document. It contains a link and limited metadata, not the spreadsheet's cells, formulas, charts, or formatting, so it is not a workbook format that can be directly converted by renaming the extension.

Google Drive for desktop can show these shortcuts when Google-native files are accessed from a computer. Opening one normally requires access to the linked Google account or shared document; availability also depends on the document's sharing and download permissions.

What the XLSX format is

.xlsx is the XML-based, macro-free Microsoft Excel workbook format. It can store worksheets, values, formulas, formatting, charts, tables, filters, and other workbook structures in a local file supported by Microsoft Excel, LibreOffice Calc, Apple Numbers, and many document-management systems.

Use .xlsx when the recipient needs offline access or when a system accepts Excel workbooks but rejects Google Sheets links. Workbooks containing VBA macros must use .xlsm; exporting to .xlsx does not preserve VBA macros.

How to convert a GSHEET shortcut

  1. Open the .gsheet shortcut from Google Drive or go to https://sheets.google.com and open the associated spreadsheet.
  2. In Google Sheets, select File → Download → Microsoft Excel (.xlsx).
  3. Choose a local folder if the browser asks where to save the download. The downloaded file should have an .xlsx extension.
  4. Open the exported file in Microsoft Excel, LibreOffice Calc, or another compatible program and check the worksheets, formulas, dates, charts, and print settings.

The export creates a copy; it does not change the original Google Sheets document. A viewer can export only when the owner or administrator has allowed downloading, printing, and copying.

Desktop and online tools

Google Sheets is the correct conversion tool because it has access to the source spreadsheet. Microsoft Excel and LibreOffice Calc are useful for opening and validating the resulting workbook, but neither can recover spreadsheet data from a .gsheet shortcut alone.

Online converters such as CloudConvert or Zamzar cannot normally convert a .gsheet pointer because they cannot authenticate to its private Google document. Do not upload confidential data to a third-party service; use Google's built-in export instead. An online converter is relevant only after obtaining a real spreadsheet file and needing a different subsequent format.

For repeated exports, an authorized Google Apps Script or Google Drive API workflow can download the spreadsheet's XLSX export using its file ID. This requires authentication, permissions, and script maintenance, so the Sheets download command is safer for an occasional conversion.

Compatibility limits

Values, ordinary formulas, formatting, filters, and many charts usually transfer, but Google Sheets and Excel implement some functions differently. Review Google-specific functions, array formulas, named ranges, data validation, conditional formatting, pivot tables, charts, external links, and locale-dependent dates and number formats.

Google Apps Script, add-ons, sharing permissions, version history, real-time collaboration, protected-range behavior, and some comments or other Google-specific features do not become equivalent XLSX features. Recreate or verify those features in Excel after export, and follow any warning Google Sheets displays about unsupported content.
