A Word manuscript may need conversion when an e-reader, ebook app, or publishing platform requires EPUB instead of DOCX. EPUB also reflows text for phones, tablets, and dedicated readers, while DOCX is mainly designed for editing and printed pages.

What the DOCX format is

DOCX is Microsoft Word’s XML-based document format, supported by Microsoft Word, LibreOffice Writer, Apple Pages, and Google Docs. It is a ZIP-based package containing document XML, styles, images, metadata, headers, footnotes, tables, comments, and tracked changes.

DOCX files are common for manuscripts, reports, school materials, business documents, and files exchanged between word processors. The format preserves page-oriented instructions such as margins, page breaks, columns, headers, and floating objects. Those instructions do not always have a direct equivalent in an ebook.

What the EPUB format is

EPUB is a packaged ebook format built from XHTML or HTML, CSS, images, metadata, and navigation files. EPUB 3.3 is the current EPUB specification, although some older reading systems have better compatibility with simpler EPUB content.

Most EPUB books use reflowable layout. The reading app or device controls the font, text size, margins, and sometimes line spacing, and the content adapts to the available screen. EPUB is suitable for novels, essays, manuals, and other primarily linear documents. EPUB also supports fixed-layout publications, but converting a normal DOCX into fixed-layout EPUB requires deliberate page design rather than a standard export.

Complex spreadsheets, forms, multi-column pages, floating text boxes, and designs that depend on exact positioning usually need restructuring. EPUB readers may support different subsets of CSS, scripting, multimedia, and advanced EPUB 3 features.

How to convert a DOCX file

Using the built-in 101convert.com converter

1. Open the DOCX-to-EPUB converter on 101convert.com.
2. Upload the DOCX file and select EPUB as the output format.
3. Start the conversion and download the generated EPUB.
4. Open the EPUB in a reader and inspect its text, images, links, navigation, and metadata.

This option converts the file without installing desktop software. Do not upload confidential or unpublished material unless the service’s retention and deletion policies meet your requirements.

Using LibreOffice Writer

1. Open the DOCX in LibreOffice Writer.
2. Replace manually formatted headings with paragraph styles such as Title, Heading 1, and Heading 2. Use lower heading levels for nested sections.
3. Check images, hyperlinks, footnotes, tables, page breaks, and unwanted tracked changes or comments.
4. Choose File → Export As → Export as EPUB.
5. Choose a reflowable EPUB unless the publication specifically requires fixed pages.
6. Enter the title and author metadata, select a cover image if the export dialog provides that option, and export the file.

LibreOffice is useful when the DOCX needs editing before export. Its results depend heavily on clean styles and straightforward document structure.

Using Calibre

1. Install Calibre and choose Add books to import the DOCX.
2. Select the imported book and choose Convert books.
3. Set the output format to EPUB.
4. Check the metadata and cover, and review the options for structure detection and the table of contents.
5. Start the conversion, then open the EPUB in Calibre’s viewer or another EPUB reader.

Calibre is useful for metadata editing, cover management, batch conversion, and post-conversion adjustments. Its command-line converter uses:

Using Pandoc

Pandoc is suitable for repeatable, scriptable conversions where the DOCX uses consistent headings, paragraphs, lists, links, images, and simple tables:

pandoc input.docx -o output.epub --to=epub3 --toc

Add metadata with options such as --metadata title=Book, or specify a cover with --epub-cover-image=cover.jpg. Pandoc does not reproduce Word’s page layout exactly and does not use a reference DOCX to style EPUB output; inspect its generated CSS and EPUB structure if precise formatting matters.

Quality and compatibility checks

Use semantic heading styles rather than bold or enlarged paragraphs. Conversion tools can create an EPUB navigation document from actual heading levels, but visual formatting alone does not reliably identify chapters.

Remove comments and accept or reject tracked changes before conversion if they should not appear in the published text. An ordinary DOCX does not contain VBA macros; macro-enabled Word files use the separate DOCM format, and macros are not an EPUB feature.

Inspect chapter starts, the table of contents, hyperlinks, image dimensions, captions, footnotes, tables, special characters, and non-Latin text. Check the EPUB on more than one reading system because font metrics, CSS support, and footnote behavior vary.

Run the finished file through epubcheck, for example epubcheck output.epub. EPUBCheck can detect invalid XHTML or CSS, missing resources, malformed navigation, invalid metadata, and other packaging errors, but it cannot determine whether the visual design is satisfactory.

Use JPEG for photographs and PNG for diagrams or transparency, and resize excessively large images before conversion. Do not put essential searchable or accessible text inside images. Page numbers, exact page breaks, columns, SmartArt, floating objects, forms, and other page-specific features may be discarded or rendered differently; replace them with headings, paragraphs, lists, tables, and inline images when the content must remain reflowable.
