A recipient may need the data in Excel to edit, filter, analyze, or share it without Microsoft Access. Exporting also produces a table-oriented copy for applications and workflows that do not support Access databases.

What the ACCDB format is

.accdb is the Microsoft Access database format introduced with Access 2007 and used by current Access versions. It can contain related tables, saved queries, forms, reports, macros, indexes, validation rules, and attachments. Businesses commonly use it for contact lists, inventory, order records, and other relational data.

An ACCDB file is a database container, not a single spreadsheet. A conversion normally exports one table or query at a time, so forms, reports, relationships, and database logic are not reproduced as Excel worksheets.

What the EXCEL format is

Excel workbooks normally use .xlsx, the modern XML-based workbook format. Older Excel versions use .xls, a legacy binary format. Excel supports sorting, filtering, formulas, charts, pivot tables, and manual editing, but it does not preserve Access relationships, forms, reports, macros, or database security settings.

Use .xlsx unless the receiving application specifically requires .xls. The modern format supports larger worksheets and newer Excel features.

How to convert with Microsoft Access

1. Open the .accdb file in Microsoft Access and provide its password if required.
2. In the Navigation Pane, select the table or saved query to export. To export selected columns or records, create and save a query with the required fields and criteria first.
3. Choose External Data → Export → Excel.
4. Enter an output filename ending in .xlsx and choose the destination folder. Enable Export data with formatting and layout if basic display formatting should be copied.
5. Optionally enable Open the destination file after the export operation is complete, then select OK.
6. Repeat the export for each required table or query. If necessary, copy the resulting worksheets into one workbook.

Access exports the query result, including calculated fields as returned values; it does not transfer the query's relationships, forms, reports, validation rules, indexes, or macros. Exporting several related tables to separate worksheets retains the data but not the relational behavior.

How to import with Excel

On Excel versions that provide the Access connector, choose Data → Get Data → From Database → From Microsoft Access Database, select the .accdb file, choose a table or query in Navigator, and select Load or Transform Data. Save the resulting workbook as .xlsx with File → Save As. This method may require the Microsoft Access Database Engine and is generally available on Windows; Excel for macOS does not provide the full Microsoft Access application or every Windows database connector.

Quality and compatibility limits

• An Excel worksheet supports a maximum of 1,048,576 rows and 16,384 columns. Tables exceeding those limits must be split across worksheets or files before export.
• Access data types do not all have exact Excel equivalents. Yes/No fields, attachments, multivalued fields, hyperlinks, calculated fields, and complex objects may need manual review or separate handling.
• Check dates, time zones, currency, decimal precision, null values, and long identifiers after conversion. Format identifier columns as text when values such as 00127 must retain leading zeros.
• Excel may interpret date-like text according to regional settings. Verify ambiguous dates and inspect formulas, totals, duplicate rows, column names, and record counts against the source.
• Attachments and other Access-specific objects may not become ordinary worksheet cells. Export them separately when their contents are required.
• Keep an unchanged copy of the original ACCDB. Filtering or editing the workbook does not update the database unless a separate, explicitly configured data connection is used.
