Convert WDB to EXCEL

Excel cannot normally open a Microsoft Works Database file, so old records often need conversion before they can be edited or shared with current office software. Exporting the data to .xlsx also makes it easier to search, filter, print, and archive.

What the WDB format is

.wdb is the database-file extension used by Microsoft Works Database, particularly in Works versions 2 through 9. These files contain records organized into fields such as names, addresses, telephone numbers, dates, and notes, and are commonly found in older household, school, and small-business archives.

The extension is not exclusive to Microsoft Works. Confirm that the file was created by Microsoft Works Database; a .wdb file from another application requires different software.

What the Excel format is

Modern Excel workbooks use .xlsx; .xls is the older binary format used by Excel 97–2003. An .xlsx workbook supports sorting, filtering, formulas, charts, printing, and exchange with current spreadsheet programs. Use .xls only when a legacy application specifically requires it.

Convert with Microsoft Works

1. Make a backup copy of the original .wdb file and work on the copy.
2. Open the copy in Microsoft Works Database.
3. Use File → Save As or File → Export, depending on the Works version.
4. Choose a delimited format, preferably .csv or tab-delimited text. If Works offers an encoding option, select an encoding that covers the source characters; otherwise record the original encoding for the Excel import.
5. Open Excel and select Data → From Text/CSV. In older Excel versions, use the text-import wizard.
6. Select the exported file, then verify the delimiter, quotation settings, character encoding, column preview, and detected data types.
7. Set identifier, telephone, account, and postal-code columns to Text before loading them so Excel does not remove leading zeroes or convert long values to scientific notation.
8. Save the imported workbook with File → Save As and choose Excel Workbook (*.xlsx).

Current Windows and Microsoft 365 installations do not include Microsoft Works. If no compatible Works installation is available, use an existing licensed copy in an appropriate older Windows environment or a virtual machine. Do not install legacy software from an untrusted download.

Use an online converter

Reputable services such as Zamzar may offer Microsoft Works .wdb conversion, but supported input formats change and some services accept only particular Works versions or database structures. Before uploading, confirm that the service specifically lists Microsoft Works Database .wdb as an input and .xlsx as an output; a generic database converter is not necessarily compatible.

Upload a copy, download the result, and compare record and field counts with the source. Do not upload personal, financial, medical, customer, or otherwise confidential records unless the organization has approved that service and its data-handling terms.

Check the converted workbook

Delimited export usually preserves field values but not database forms, reports, layouts, relationships, macros, calculated fields, or embedded objects. A Works database containing multiple tables may require a separate export for each table; linked records must be checked manually.

Inspect dates because values such as 03/04/2020 can mean different dates under different regional settings. Check non-English characters, multiline notes, quotation marks, empty fields, duplicate records, and columns containing leading zeroes. Compare the source and workbook record counts before deleting or modifying the original.

Keep the untouched .wdb file as the archival copy. If the database structure, forms, or relationships must be preserved rather than just the tabular data, CSV-to-Excel conversion is insufficient and the original Works environment or a specialist migration service is required.
