What the ACCDB format is

.accdb is the Microsoft Access database format introduced with Access 2007 and used by current desktop versions of Access. An ACCDB file can contain tables, relationships, queries, forms, reports, macros, VBA modules, attachments, and other database objects. Departments and small business applications commonly use it for customer records, inventory, orders, schedules, and reporting.

ACCDB is a database container rather than a spreadsheet. Its relationships, forms, reports, permissions, and application logic do not become equivalent XLS features during export.

What the XLS format is

.xls is the binary Excel 97–2003 workbook format. It can hold multiple worksheets, tabular values, formulas, basic formatting, charts, and printed layouts. Its main advantage is compatibility with older Excel releases and systems that reject .xlsx.

An XLS worksheet supports a maximum of 65,536 rows and 256 columns, substantially fewer than an XLSX worksheet. XLS is therefore suitable for legacy-compatible extracts, but not for data sets that exceed those limits.

How to convert ACCDB to XLS

Using Microsoft Access

1. Open the .accdb file in Microsoft Access.
2. In the Navigation Pane, select the table or saved query to export. Export a query when the output requires filters, joins, calculated fields, or a particular sort order.
3. Choose External Data → Export → Excel.
4. Specify the destination filename, such as customers.xls.
5. If Access offers format choices, select Excel 97–2003 Workbook (*.xls), not the default XLSX format.
6. Enable Export data with formatting and layout when displayed formatting is needed, then confirm the export.
7. Open the resulting workbook in Excel or another compatible spreadsheet program and verify the row count, dates, numeric values, text, and column widths.

Access exports the selected table or query, not the complete database structure. Repeat the operation for other objects, or create a query that combines the required data before exporting. Parameter queries, linked tables, and queries that depend on custom VBA functions may need to be opened and successfully run in Access before export.

• Identifiers such as postal codes, product codes, and account numbers can lose leading zeros when interpreted as numbers. Format those columns as text before saving or correct them in Excel.
• A worksheet cannot contain more than 65,536 rows or 256 columns in XLS format. Split larger results across worksheets or files, or use .xlsx when the receiving system supports it.
• Formatting, column widths, calculated values, and query expressions may not transfer exactly. Export the query result and compare representative records with the original Access data before distributing the workbook.
