Convert FP3 to EXCEL

Archived FileMaker records often need to be delivered to people who use Excel or loaded into reporting and accounting systems that accept spreadsheets. Exporting the database records to .xlsx makes the data easier to filter, inspect, and share without distributing the original FileMaker file.

What an FP3 file is

.fp3 is a legacy FileMaker Pro 3 or FileMaker Pro 4 database format. It can store records, fields, layouts, scripts, value lists, access privileges, relationships to other FileMaker files, and container-field references or data; it is not an Excel workbook or a text table.

FileMaker Pro 5 and 6 normally use .fp5, FileMaker Pro 7–11 use .fp7, and FileMaker Pro 12 and later use .fmp12. Current Claris FileMaker Pro releases do not directly open .fp3 files.

What Excel output means

Excel is an application rather than one file format. For a current workbook, use .xlsx; use .csv or tab-delimited text only when the receiving system specifically requires plain text. An .xlsx workbook supports worksheets, formatting, formulas, filters, pivot tables, and charts, while CSV stores only plain cell values in one table.

A FileMaker export transfers selected field values into rows and columns. It does not recreate FileMaker layouts, scripts, privilege sets, buttons, relationships, finds, or database behavior in Excel.

Convert the database through FileMaker

1. Copy the original .fp3 file and any related FileMaker files to a working folder. Keep the originals unchanged. A solution may depend on related databases, external container files, or scripts that are not needed for a simple record export but can be needed to interpret the data.
2. Use FileMaker Pro 11 to open and convert the file to .fp7. FileMaker Pro 11 is the usual bridge for FileMaker 3–6 formats, but it is retired software; run it only in a controlled, preferably offline legacy environment. If you do not have a licensed copy, use a FileMaker migration specialist rather than an unverified file-conversion site.
3. Enter valid FileMaker credentials. Password protection cannot be removed by changing the filename or by importing the file into Excel.
4. Check the records to export. Records → Show All Records exports the full table; File → Export Records otherwise exports only the current found set.
5. In File → Export Records, choose an Excel workbook option if available and save as records.xlsx. Select the required fields and set their export order. If the installed FileMaker version cannot export .xlsx, export tab-separated text or CSV instead.
6. Open a CSV or tab-delimited export in Excel through Data → From Text/CSV, select the correct delimiter, and assign sensitive columns such as IDs and postal codes the Text type. Save the imported data with File → Save As → Excel Workbook (*.xlsx).

If the converted database must remain usable in modern FileMaker, open the resulting .fp7 file in FileMaker Pro 12 or later and convert it to .fmp12. This extra conversion is unnecessary when the only requirement is an Excel export.

Do not rename .fp3 to .xls or .xlsx; changing an extension does not convert the file. General online converters are not a dependable route for this proprietary database format and are inappropriate for files containing customer, employee, financial, or health data.

Data checks and compatibility limits

• Excel automatically converts values unless import types are set explicitly. Treat account numbers, phone numbers, product codes, postal codes, and identifiers as text. Excel retains only 15 significant digits in a numeric value, so longer numeric IDs must be imported as text.
• Confirm date interpretation after import, especially where the FileMaker file and Excel use different regional date conventions. Review calculated, summary, and related-field values against the original database before relying on them.
• An Excel worksheet holds at most 1,048,576 rows and 16,384 columns. Split larger exports across worksheets or files.
• Container fields do not become fully usable Excel attachments. Export container contents separately from FileMaker where required, then include filenames, paths, or hyperlinks in the worksheet.
• CSV does not preserve Excel formatting, formulas, multiple worksheets, or reliable data types. Prefer .xlsx for a reusable spreadsheet; retain CSV only for systems that require it.
