What the ACCDB format is

ACCDB is the Microsoft Access database format introduced with Access 2007. It can store relational tables, queries, forms, reports, macros, modules, attachments, and relationships between tables. Microsoft Access creates and opens ACCDB files; some database tools can read them through the Access Database Engine or ODBC drivers.

You typically encounter ACCDB files in business record systems, inventory databases, contact lists, local data-entry applications, and exported Access projects. An ACCDB file is not a word-processing document, so conversion requires choosing which database content should become document content.

What the DOC format is

DOC is the legacy Microsoft Word 97–2003 document format. It stores formatted paragraphs, tables, images, page layouts, headers, footers, and basic fields in an editable Word document.

DOC is useful when the recipient requires an older Word-compatible format or when a database report must be edited, printed, or submitted as a conventional document. DOCX is preferable for new documents because it is the current Word format and generally handles modern features more reliably.

How to actually convert ACCDB to DOC

Using Microsoft Access and Word

1. Make a backup copy of the .accdb file. Conversion exports selected data; it does not preserve the database structure in the DOC file.
2. Open the database in Microsoft Access and decide whether to export a table, query, form, or report. For controlled output, create a query containing only the required fields, then build a report from that query.
3. Apply sorting, grouping, calculated fields, page headers, and filters in the Access report. This produces a more usable document than exporting a raw table.
4. Select the object in the Navigation Pane and choose External Data → Export → More → Word. In some Access versions the command is labelled Word RTF.
5. Save the exported file as report.rtf. Access commonly exports Word-compatible Rich Text Format rather than a native .doc file.
6. Open report.rtf in Microsoft Word, choose File → Save As, select Word 97–2003 Document (*.doc), and save the result as report.doc.

Quality, compatibility, and limitations

• Exporting a report usually preserves grouping and page layout better than exporting a table or query. Very wide tables may wrap, split across pages, or produce unreadably small columns.
• Memo or Long Text fields, attachments, embedded objects, calculated values, null values, and special characters may need manual checking after export.
• Review page breaks, fonts, images, column widths, headers, and footers in Word before distribution. RTF-to-DOC conversion can change pagination.
• DOC has a 65,536-row worksheet-style limit only in some import workflows; Word itself can contain larger tables, but very large database exports may be slow and difficult to edit.
• Opening and resaving the final DOC in current Word or LibreOffice Writer can help verify compatibility with the recipient’s software, but it may alter fields or layout.
