Excel-based reporting tools and spreadsheet users cannot work directly with an Access database file. Exporting selected ACCDB tables or query results to XLSX makes the data easier to share, edit, analyze, or submit to software that requires an Excel workbook.

What the ACCDB format is

.accdb is the native Microsoft Access database format introduced with Access 2007 and used by current Access versions. A single file can contain related tables, queries, forms, reports, macros, relationships, indexes, and validation rules. Businesses commonly use ACCDB files for desktop databases and data-entry applications.

An ACCDB database can contain multiple related tables, whereas an XLSX file contains worksheets. Conversion therefore exports a table or the result of a query; it does not reproduce the database structure or application.

What the XLSX format is

.xlsx is the XML-based Microsoft Excel workbook format. Microsoft Excel, LibreOffice Calc, and many reporting systems can open it. Worksheets support tabular data, sorting, filtering, formulas, charts, and pivot tables without requiring Access.

XLSX is appropriate when recipients need to inspect or edit database data, when a reporting system requires an Excel workbook, or when you need a portable snapshot of selected records. It does not preserve Access relationships, forms, reports, macros, indexes, validation rules, or saved query definitions.

How to convert ACCDB to XLSX

With Microsoft Access

1. Back up the original .accdb file and open it in Microsoft Access.
2. In the navigation pane, select the table or saved query to export. Use a query when you need particular columns, filtered records, joins, calculated fields, or a defined sort order.
3. Choose External Data → Export → Excel.
4. Specify the destination filename and choose the Excel workbook format, such as Excel Workbook (*.xlsx).
5. Enable Export data with formatting and layout only when the displayed formatting matters. For later analysis, an ordinary tabular export is usually easier to process.
6. Click OK, then open the generated workbook in Excel or another compatible spreadsheet application and verify the result.

Repeat the export for every table or query required in the workbook. A parameter query exports its result after you provide the requested parameter values; the query definition itself is not transferred. If the database contains linked tables, confirm that the links are available and current before exporting.

Quality and compatibility limits

• Each worksheet supports a maximum of 1,048,576 rows and 16,384 columns. Export a large table in filtered sections or retain it in a database-oriented format when it exceeds those limits.
• Attachment, multivalue, OLE object, and some complex calculated fields may not map cleanly to worksheet cells. These fields may require separate extraction or manual restructuring.
• Check dates, times, decimal separators, null values, and regional number formats after conversion. Spreadsheet applications store dates as serial values and may display them according to local settings.
• Identifiers such as postal codes, account numbers, and product codes can lose leading zeroes if Excel interprets them as numbers. Format those columns as text before or after export.
• Exporting creates a snapshot. Changes made later in the ACCDB file do not update the XLSX workbook unless you export the data again.
• Password-protected or encrypted databases, damaged files, and databases that depend on unavailable linked data may require Microsoft Access to open, repair, or export them before conversion.
