Many reporting, spreadsheet, and import tools cannot open Microsoft Access databases and require plain text rows instead. Exporting selected ACCDB tables or query results to CSV makes them easier to share, edit, or archive, but removes database structure.

What the ACCDB format is

.accdb is the Microsoft Access database format introduced with Access 2007 and used by later desktop versions. An ACCDB file can contain tables, queries, forms, reports, relationships, indexes, macros, and VBA code, so it is a database container rather than one flat data file.

Organizations use ACCDB databases for contact lists, inventory, surveys, departmental records, and other small business applications. A conversion normally exports one table or query at a time. Forms, reports, relationships, macros, VBA code, permissions, and other database logic do not become CSV data.

What the CSV format is

CSV stores rows of tabular data as plain text. Fields are normally separated by commas, and the first row may contain column names. Fields containing commas, quotation marks, or line breaks are enclosed in quotation marks according to CSV quoting rules.

Spreadsheet programs, scripts, analytics systems, ETL tools, and database import utilities commonly support CSV. It is portable and often smaller than an Access database containing the same simple table, but it cannot preserve relationships, indexes, forms, reports, permissions, formulas, validation rules, or Access data types. A database with several tables generally requires a separate CSV file for each exported table or query.

How to convert an ACCDB file to CSV

Using Microsoft Access

1. Make a backup or work from a copy of the ACCDB file, especially if it contains confidential or operational data.
2. Open the file in the desktop version of Microsoft Access.
3. In the navigation pane, select the table or saved query to export. Select a query when you need filtered rows, selected columns, joins, or calculated export values.
4. Choose External Data → Export → Text File.
5. Enter an output path and a filename ending in .csv, then select OK.
6. In the Export Text Wizard, choose Delimited, select Comma, and enable First Row Contains Field Names when the receiving program expects column headers.
7. Use the available encoding option for the export. Choose UTF-8 when the data contains accented characters, non-Latin scripts, or symbols that must be read consistently by modern applications.
8. Finish the export, then inspect the CSV in a text editor or import preview. Check the delimiter, header row, character encoding, dates, quoted fields, blank values, and row count.

Repeat the process for every table or query that must be transferred. Exporting queries is usually preferable when the destination needs only a controlled subset of the database rather than every stored column.

Quality and compatibility limitations

• Dates and times: Regional settings can produce ambiguous dates such as 03/04/2026. Use an unambiguous format where the receiving system supports it, and verify time-zone or time-only fields.
• Commas and line breaks: Correctly exported fields containing commas, quotation marks, or line breaks should be quoted. Do not remove those quotation marks; they preserve field boundaries. Confirm that the destination supports standard CSV quoting.
• Leading zeros: Spreadsheet software may convert postal codes, product codes, telephone numbers, and account numbers to numbers. Import those columns as text or verify them in a text editor instead of opening the file directly in a spreadsheet.
• Encoding: Garbled characters usually indicate an encoding mismatch. Re-export using UTF-8 when available, then select UTF-8 during import; older software may require another encoding.
• Large or sensitive data: CSV has no standard metadata for validation, permissions, or field definitions. Verify the exported row count and retain the source database and any import settings.
