Free online EXCEL to ACCDB converter

Microsoft Access requires spreadsheet data to be imported into an .accdb database when the data must support relational tables, queries, forms, or reports. Converting is also useful when a recipient or business application accepts Access databases but not Excel workbooks.

What the Excel format is

Excel workbooks normally use .xlsx; Excel 97–2003 used .xls. Microsoft Excel, LibreOffice Calc, Apple Numbers, and reporting systems can create or export these files.

A workbook can contain multiple worksheets, formulas, formatting, charts, named ranges, pivot tables, and macros. Excel is primarily a spreadsheet format: worksheets do not automatically provide database relationships, primary keys, referential integrity, or consistently enforced field types.

What the ACCDB format is

.accdb is the Microsoft Access database format introduced with Access 2007. It can store tables, relationships, queries, forms, reports, macros, indexes, and validation rules in one database file.

ACCDB is appropriate for related tables, structured queries, unique identifiers, data-entry forms, and small to medium desktop database applications. It is not a substitute for a server database in high-concurrency or very large workloads; SQL Server, PostgreSQL, or another server platform may be more suitable. Older versions of Access, including Access 2003, cannot open ACCDB files without a compatibility component.

How to convert Excel to ACCDB

Microsoft Access provides the most controllable conversion because it imports the workbook into tables and lets you review field types and keys.

1. Prepare the workbook. Give each imported worksheet one header row, remove title rows and decorative blank rows, and keep one kind of data in each column. Save it as .xlsx or .xls.
2. Open Access, select Blank database, enter a database name ending in .accdb, and select Create.
3. Select External Data → New Data Source → From File → Excel, choose the workbook, and select Import the source data into a new table in the current database.
4. Choose the worksheet or named range. Enable First Row Contains Column Headings when the first row contains field names.
5. Review the detected field names and types. Use text for identifiers that contain leading zeroes, and check date, currency, integer, and decimal fields for incorrect inference.
6. Choose a primary-key option. Use an existing column only if its values are unique and never blank; otherwise let Access add an ID field or create one later.
7. Enter a table name, select Finish, and inspect the imported records. Repeat the import for each worksheet that should become a table.
8. For related tables, select Database Tools → Relationships and create relationships between matching key fields. Then create queries, forms, or reports as needed.

To keep the workbook as the source instead of copying its data, choose External Data → New Data Source → From File → Excel → Link to the data source by creating a linked table. A linked table stores the connection in the ACCDB file, not a full copy of the worksheet, so the workbook must remain available and changes to its structure can break the link.

Quality and compatibility limitations

• Excel formulas are generally imported as their displayed or calculated values, not as worksheet formulas. Charts, pivot tables, formatting, conditional formatting, and Excel layout do not become equivalent Access objects.
• Each worksheet normally becomes a separate table. Repeated values, merged cells, subtotals, mixed headers, and blank separator rows should be removed or normalized before import.
• Mixed values in one column can cause Access to choose an unsuitable type or omit incompatible values. Regional settings can affect date interpretation.
• Import identifiers such as 00127 as text; importing them as numbers removes leading zeroes. Long numeric identifiers should also be stored as text when they are labels rather than values.
• Excel macros, external links, protected sheets, and VBA code are not converted into equivalent Access objects automatically. Recreate required logic in Access or migrate it manually.
• An ACCDB file has a 2 GB maximum size, excluding data held in linked external sources. Use Database Tools → Compact and Repair Database after substantial imports, and split data or move it to a server database when the file approaches the limit.
