How to convert bibtex to word file

A publisher, supervisor, or collaborator may require a bibliography or cited manuscript as an editable .docx file instead of a .bib database. A reference manager can parse the records, apply a citation style, and transfer the resulting bibliography and citations to Word without using a lossy PDF intermediary.

What the BibTeX format is

BibTeX is a plain-text bibliographic database format used with LaTeX and tools such as Overleaf, JabRef, Zotero, and BibDesk. A file such as references.bib contains keyed records with fields including author, title, year, journal, volume, pages, and doi.

Researchers commonly export BibTeX records from Google Scholar, Scopus, Web of Science, Crossref, library catalogs, and citation managers. The file describes sources; it does not contain Word paragraphs, page layouts, headings, or finished citation formatting. The usual extension is .bib, although the format is often informally called a BibTeX file.

What the Word format is

Microsoft Word documents normally use the modern Office Open XML .docx format; the older binary .doc format is retained mainly for legacy compatibility. Word provides editable text, paragraph and bibliography styles, comments, tracked changes, and compatibility with common submission workflows.

A converted bibliography contains visible formatted text, not the original BibTeX database structure. Entry keys, unused fields, macros, comments, and fields unsupported by the selected citation style may not appear in Word.

Convert with Zotero and Word

  1. Install Zotero Desktop and its Word processor integration. Confirm that Word shows a Zotero tab; if it does not, open Zotero settings and check Cite → Word Processors.
  2. In Zotero, choose File → Import, select the BibTeX importer, and open references.bib. Inspect imported records for duplicates, missing authors, incorrect dates, incomplete page ranges, and invalid DOI or URL values.
  3. For a standalone reference list, select the required items in Zotero, right-click, and choose Create Bibliography from Items. Select a CSL citation style, choose Copy to Clipboard, paste the result into Word, and save it through File → Save As as references.docx.
  4. For a cited manuscript, open Word and use Zotero → Add/Edit Citation to insert sources. Use Zotero → Document Preferences to choose APA, MLA, Chicago, or a publisher-specific CSL style, then insert the reference list with Zotero → Add/Edit Bibliography.
  5. Keep the Zotero fields linked while editing. Before submission, save a backup and use Zotero → Unlink Citations only if the recipient requires ordinary Word text; unlinking prevents later citation and bibliography updates.

Use JabRef for a static reference list

Open references.bib in JabRef, correct its metadata, select the required entries, and generate a bibliography in the required style. Copy the generated text into Word, or export it to a Word-readable intermediate format such as RTF when available, open it in Word, and save it as .docx. JabRef is suitable for producing a static bibliography but does not provide Zotero's Word citation controls.

Use an online service for a quick bibliography

ZoteroBib is a suitable browser-based option for a bibliography that does not need live Word citation fields. Import or paste the BibTeX records at ZoteroBib, choose a citation style, copy the formatted bibliography into Word, and save the document as .docx. It is not a full .bib-to-Word database conversion: it does not preserve a working BibTeX library or create Zotero fields in the pasted text.

Do not use a generic PDF converter as the normal route. Word can open some PDFs, but the result may contain misplaced line breaks, missing fields, and non-editable or incorrectly reconstructed formatting. Avoid uploading unpublished references or sensitive project data to an online service; use Zotero or JabRef locally when privacy matters.

Check the result after conversion

Review accented characters, TeX commands, capitalization, corporate authors, article numbers, edition fields, date fields, URLs, and DOI links. Protect a corporate author with an extra brace, for example author = {{World Health Organization}}, so the citation style does not split or reorder the organization name.

BibTeX may contain @string macros, comments, cross-references, LaTeX markup, and multiple alternative records. Importers handle many of these features, but a citation style can omit fields it does not use, and TeX-specific markup may require manual cleanup. Compare the final bibliography with the original sources before delivery.

The database currently does not contain any direct bibtex file converter links.
