What the Word format is

Microsoft Word documents normally use .docx; .doc is the older binary format, and .rtf is a widely supported rich-text format that Word can open and save as DOCX. These formats support editable text, formatted tables, headings, images, comments, and page layout.

Word does not preserve a SAV file as an active SPSS data model. Filters, weights, value-label definitions, missing-value rules, syntax, and analysis procedures cannot be rerun from the converted document.

  5. If SPSS produces an .rtf file, open it in Word and use File → Save As to save a .docx copy.

SPSS export labels and available formats vary by release, but RTF is normally the most reliable Word-compatible output format. Exporting Output Viewer content preserves report layout more effectively than placing every data row in a Word table.

Place selected data in a Word table

  1. Open the SAV file in SPSS and restrict the view to the required variables and cases.
  2. In Data View, select a small range of cells, copy it, and paste it into Word with Home → Paste.
  3. For larger extracts, save or export the selected data as .xlsx or .csv, review it in Excel or LibreOffice Calc, then copy only the necessary range into Word.
  4. Use variable labels as table headings where possible, and add a note explaining codes when values such as 1, 2, or 99 require interpretation.

Data View may display stored codes rather than value labels, depending on SPSS display settings. Copying cells also does not transfer missing-value definitions, variable formats, or the logic used to create derived variables.

Quality and compatibility limits

Wide datasets often exceed page width and create unreadable Word tables. Export only needed variables and records, use landscape pages where appropriate, split tables by subject, and avoid reducing type to an impractical size.

Check decimal separators, date formats, value-label display, table widths, page orientation, chart placement, footnotes, and significance markers after conversion. Tables exported from SPSS may be editable in Word, while charts and some output objects may arrive as static images or differently structured tables.

Password-protected, encrypted, damaged, or newer-feature SAV files may not open in another application. Keep associated SPSS syntax in its original .sps file and retain the SAV source for reproducibility.
