Convert XLSX to MPP

Teams often receive task schedules as Excel workbooks but need Microsoft Project for dependency-based scheduling and native plan editing. Converting the workbook creates an .mpp plan that Project users can revise, recalculate, and share.

What the XLSX format is

.xlsx is the XML-based workbook format used by Microsoft Excel, LibreOffice Calc, Google Sheets exports, and many business systems. It stores worksheets with cells, formulas, tables, formatting, charts, and validation rules. Project data commonly arrives in XLSX as a manually maintained task list or an export from an ERP, ticketing, or reporting system.

What the MPP format is

.mpp is Microsoft Project’s native project-plan format. It can store tasks, outline levels, calendars, working time, constraints, dependencies, resources, assignments, baselines, progress, views, and scheduling metadata that a spreadsheet does not model natively.

MPP is the appropriate target when the file must be edited in Microsoft Project or recalculated by its scheduling engine. It is not simply a smaller or more portable XLSX file: only spreadsheet columns containing compatible project data can be mapped to Project fields.

Convert XLSX with Microsoft Project desktop

Microsoft Project desktop is the most reliable option because its Excel Import Wizard maps worksheet columns to native Project fields. Project for the web and Microsoft Planner are separate products and do not provide the same desktop MPP import workflow.

Prepare the workbook before importing:

• Put one task or resource per row and use one header row.
• Use columns such as Task Name, Duration, Start, Finish, Predecessors, Resource Names, and % Complete.
• Use unambiguous dates, consistent duration units such as 5d, and predecessor IDs or row references that can be mapped consistently.
• Remove merged cells, decorative title rows, blank task rows, subtotal formulas, and ambiguous date or duration values.

1. Open Project desktop and select File → Open → Browse.
2. Set the file-type filter to Excel Workbook (*.xlsx), select the workbook, and start the Import Wizard.
3. Choose New project, unless the rows must be added to an existing plan.
4. Select the worksheet and map columns to Project fields: task names to Name, dates to Start and Finish, durations to Duration, dependency values to Predecessors, and people or teams to Resource Names.
5. Specify whether the rows represent tasks, resources, or assignments, then complete the import.
6. Inspect the Gantt Chart, outline hierarchy, dates, calendars, links, task modes, and resource assignments.
7. Save the result with File → Save As, choosing Project (*.mpp).

A flat worksheet does not provide enough information for Project to infer a correct work breakdown structure, calendars, task types, or dependencies. Add outline levels and scheduling rules in Project after import, or add the required fields to the workbook before conversion.

Online converters and alternative software

Some online services, including Zamzar, list XLSX-to-MPP conversion. They can be suitable for a simple, nonconfidential task list, but support for Project fields, dependencies, calendars, resources, and MPP versions varies. Upload only data permitted by your organization, and open the downloaded file in Microsoft Project to verify it.

For confidential or schedule-critical data, use Project desktop rather than a generic web converter. A Project-compatible desktop application may also import Excel, but confirm that it can save a native MPP file and test the output against the Microsoft Project version used by the recipients.

Quality and compatibility limits

Excel formulas, conditional formatting, charts, pivot tables, comments, and cell styling do not become equivalent Project features. A formula-generated date or duration is normally imported as a value; recreate the scheduling logic in Project.

Do not assume that simultaneous Duration, Start, and Finish values will remain unchanged. Project can recalculate dates according to task mode, calendars, working time, links, constraints, and resource settings. Review regional date formats, holidays, elapsed durations, predecessor syntax, and resource names to prevent incorrect dates or duplicate resources.

Baselines, costs, custom fields, and detailed assignment data usually require explicit mapping or manual reconstruction. Keep the original XLSX because the conversion is not reversible, and save the imported plan as a new MPP file until its schedule has been checked.
