Convert XLSX to SAV

A statistics package may require an SPSS data file when Excel data must be analyzed with SPSS metadata, shared with an SPSS user, or imported into an existing statistical workflow. Converting the workbook also removes spreadsheet-only features that cannot exist in a statistical dataset.

What the XLSX format is

.xlsx is Microsoft Excel's Office Open XML workbook format, also produced by LibreOffice Calc, Google Sheets exports, and reporting systems. It is a ZIP-based container that can store multiple worksheets, cells, formulas, formatting, charts, and other workbook objects.

An Excel column can contain numbers, dates, text, formulas, blanks, or mixed values. An SPSS data file normally represents one rectangular dataset, so a workbook may need cleaning and worksheet selection before conversion.

What the SAV format is

.sav is the native IBM SPSS Statistics data-file format. It stores cases and variables together with variable names, data types, value labels, user-missing values, measurement levels, and display formats.

SAV is suitable when the recipient uses IBM SPSS Statistics or another program that reads SPSS files, or when statistical metadata must travel with the data. It does not preserve Excel charts, formulas, cell formatting, comments, macros, conditional formatting, or multiple worksheets as workbook objects.

How to convert XLSX to SAV

IBM SPSS Statistics

IBM SPSS Statistics is the most compatible desktop option because it can import Excel worksheets and save native SAV files.

1. Open SPSS Statistics and select File → Open → Data.
2. Choose Excel as the file type, open input.xlsx, and select the required worksheet.
3. Enable Read variable names from the first row of data when the first row contains valid column names.
4. Review the imported columns in Variable View. Correct variable names, types, date formats, labels, missing values, and measurement levels.
5. Select File → Save As, choose SPSS Statistics .sav, enter output.sav, and save.

For repeatable jobs, use SPSS syntax:

Change the worksheet name and paths for the local system. For formula cells, SPSS generally imports the values last saved in the workbook rather than recalculating Excel formulas.

GNU PSPP after CSV export

GNU PSPP can create SAV files, but XLSX support is not as consistent as SPSS Statistics. A reliable PSPP workflow is to open the required worksheet in Excel or LibreOffice Calc, choose File → Save As, select CSV, then open the CSV in PSPP with its text-import settings. Check delimiters, quotation marks, decimal separators, variable names, and missing-value representations before selecting File → Save As and saving an SAV file.

CSV preserves cell values but not Excel formulas, formatting, multiple worksheets, or SPSS metadata. Define labels, measurement levels, and missing values in PSPP after import.

Stat/Transfer

Stat/Transfer is a specialist desktop utility that can transfer Excel data to SPSS format without a full SPSS installation. Select Excel as the source, choose the worksheet and import options, select SPSS as the destination, and write the SAV file. Confirm that the installed edition supports both XLSX input and SAV output because format support depends on the version.

Python automation

For batch conversion, pandas can read the worksheet and pyreadstat can write an SPSS file:

This writes the data but does not infer the intended SPSS value labels, user-missing values, or measurement levels. Supply those through the relevant pyreadstat.write_sav options when the analysis depends on them.

Online conversion

Convertio has offered XLSX-to-SAV conversion, but supported formats and metadata handling can change; confirm that the current service page explicitly lists both formats before uploading. Online converters commonly transfer cell values without reliable SPSS labels, missing-value definitions, or measurement levels, so desktop software is preferable for research data.

Do not upload confidential survey, medical, personnel, financial, or personally identifiable data unless the service's retention, deletion, and processing terms meet the required privacy standards. Keep the original XLSX as a separate source file.

Quality and compatibility checks

• Convert one worksheet at a time. Remove title rows, subtotals, merged cells, decorative columns, and explanatory text; the first data row should contain unique variable names.
• Excel names may be changed to comply with SPSS naming rules. Check for truncation, invalid characters, duplicate names, and references that could break analysis syntax.
• Keep each column consistently numeric, text, or date-based. Mixed-type columns can become strings or missing values during import; inspect frequencies, row counts, and missing values afterward.
• Excel dates are serial values with workbook-specific date systems. Verify imported dates, time zones where relevant, and the SPSS display format, especially when blanks or text appear in the same column.
• Preserve formulas as calculated values before conversion if those values are needed. SAV cannot retain the original formulas, charts, workbook layout, macros, or conditional formatting.
• Check the resulting SAV in the target SPSS or PSPP version. Older software may handle newer character encodings, long variable names, or metadata differently.
