How to convert txt to pps file

A presentation system that opens files directly in slideshow mode may require the legacy .pps format instead of an editable document. Converting a text file requires importing its content into slides, applying layout and formatting, then saving the result as a PowerPoint Show.

What the TXT format is

.txt is a plain-text format containing characters, line breaks, and sometimes tabs or other basic control characters. Notepad, TextEdit in plain-text mode, Linux text editors, programming tools, export utilities, and command-line programs commonly create it. TXT does not preserve fonts, colors, images, slide boundaries, speaker notes, page layout, or other presentation structure.

What the PPS format is

.pps is the legacy PowerPoint 97–2003 Show format. PowerPoint opens it directly in slideshow mode; the corresponding editable legacy format is .ppt. A PPS file can contain formatted text, images, charts, animation, transitions, audio, and timings, but saving in this older format can remove or alter features introduced in newer PowerPoint versions. .ppsx is the newer PowerPoint Show format, but it is not interchangeable with .pps on systems that specifically require the legacy extension.

Convert TXT with Microsoft PowerPoint

  1. Structure the TXT file as an outline. Put each slide title on an unindented line and indent its body paragraphs with a tab. For example, use Quarterly results as a title, followed by tab-indented lines such as Revenue increased 12 percent. A new unindented line starts the next slide.
  2. Open the desktop version of PowerPoint and choose Home → New Slide → Slides from Outline. Select the prepared .txt file. PowerPoint uses the indentation hierarchy to create slide titles and body text.
  3. Apply a theme, correct fonts and spacing, and add images, charts, notes, or other presentation elements. Review every slide because TXT contains no information about the intended design or slide boundaries.
  4. Choose File → Save As and select PowerPoint 97–2003 Show (*.pps). Save the file, then open it on the target computer to test slideshow playback.

The exact menu labels vary by PowerPoint version, and outline import is primarily a desktop feature. If the PPS option is not visible, save an editable .pptx copy first, then use desktop PowerPoint's Save As command to select the legacy show format. Keep the PPTX as the master because it preserves more features.

Use LibreOffice Impress

LibreOffice Impress is a free desktop alternative. Prepare the TXT file with unindented slide titles and tab-indented body text. In versions that support outline import, choose File → Open and select the TXT file; otherwise create slides manually and paste the text into them. Choose File → Save As, select PowerPoint 97–2003 Show (.pps) if available, and accept the format warning. Open the saved file in PowerPoint to check fonts, transitions, animations, and layout.

Use an online converter

Services such as CloudConvert and Zamzar may accept TXT and produce PPT or PPTX, while direct PPS output and outline handling vary by service and account. Upload only nonconfidential text, verify the selected output format before conversion, and convert the downloaded presentation to PPS with desktop PowerPoint if the service does not provide a true .pps file. Online conversion is unsuitable when the text requires deliberate slide structure, custom design, or privacy protection.

Automate repeated conversions

For batch work, a script can parse lines and indentation and generate slides with Python's python-pptx package. That package writes .pptx, not the legacy .pps format, so open the generated file in PowerPoint or LibreOffice and save it as PPS afterward. Renaming .txt or .pptx to .pps does not convert the file data.

Check quality and compatibility

  • Save the source TXT as UTF-8 when it contains accented characters or non-Latin scripts. Importing a file with the wrong encoding can replace characters with symbols.
  • TXT-to-PPS conversion is a content and layout conversion, not a simple extension change. Automatic slides may be too dense, lack visual hierarchy, or split paragraphs incorrectly.
  • The legacy PPS format can discard newer transitions, fonts, SmartArt, video behavior, and other PowerPoint features. Retain a modern .pptx master.
  • Test the PPS on the target computer. Missing fonts, linked media, unsupported animations, and different PowerPoint versions can change appearance or playback.
