How to convert text to vcf file

Source format: text

Text files are plain, human-readable files that may contain contact data in a simple line-based format such as CSV, tab-delimited text, or a custom list. They are often created in Notepad, Excel, Google Sheets, databases, or exported from email and CRM systems. For contact conversion, text files may hold names, phone numbers, email addresses, company names, and addresses before import into a contacts app.

Target format: VCF

VCF (also called vCard) is a standard contact file format used by phones, email clients, and address books. It can store structured contact fields such as name, phone, email, organization, notes, and multiple addresses. Its main advantage is broad compatibility with Android, iPhone, Outlook, Apple Contacts, and many CRM tools.

Can any text file be converted directly?

No. A random .txt file cannot usually be converted directly to .vcf unless it already contains contact data in a structured format that can be mapped to vCard fields. If the text is free-form, you must first organize it into fields such as name, phone, and email.

How to perform the conversion

The best method depends on how your text file is structured. If the file is already arranged into columns or clearly separated fields, the most reliable workflow is to convert it through a spreadsheet or contacts manager first, then export as VCF.

Best desktop option: Microsoft Outlook or Apple Contacts

  1. Open the text file in Excel or another spreadsheet app if needed.
  2. Make sure each contact field is in its own column, such as First Name, Last Name, Phone, and Email.
  3. Save or export the file as .csv if it is not already in a tabular format.
  4. Import the CSV into a contacts application:
    • In Outlook, use File → Open & Export → Import/Export and import the CSV into Contacts.
    • In Apple Contacts, CSV import is not consistently supported in all versions, so you may need an intermediary such as Google Contacts, Outlook, or another app that can import CSV and export vCard.
  5. After the contacts appear correctly, export them as vCard:
    • In Apple Contacts, use File → Export → Export vCard.
    • In Outlook, vCard export is not always available as a simple built-in bulk export in every version, so you may need to export contacts through a compatible add-in, sync service, or another contacts app that supports .vcf output.

Best direct desktop workflow: LibreOffice Calc

  1. Open the text file in LibreOffice Calc.
  2. Use Data → Text to Columns if the data is separated by commas, tabs, semicolons, or another delimiter.
  3. Clean up the columns so each contact field is in the correct place.
  4. Save as .csv.
  5. Import the CSV into a contacts app or service that can export VCF, then export the contacts as vCard.

Manual creation for a single contact

If you only need one contact and know the vCard syntax, you can create a .vcf file in a text editor. A minimal vCard 3.0 example looks like this:

Online converters

If you need a quick conversion and the file is not sensitive, reputable online tools such as CloudConvert or Convertio may help when they support CSV-to-VCF or text-to-vCard workflows. Upload the file, map the fields if prompted, and download the resulting .vcf. For privacy reasons, avoid online converters for personal contact lists unless you trust the service and its retention policy.

Notes on quality and compatibility

Field mapping is the key limitation in text-to-VCF conversion. A plain text file does not inherently define which value is a name, phone number, or email address, so conversion quality depends on how well the data is structured. If the text file is free-form, you may need to manually separate contacts and assign fields before export.

VCF supports many contact details, but not every app interprets every field the same way. For best compatibility, use standard fields such as name, phone, email, and organization. Special characters and non-ASCII text should be saved in UTF-8 to avoid corruption. If your text file contains multiple contacts, make sure each contact is clearly separated before conversion.

For large address books, a spreadsheet plus contacts app workflow is usually more accurate than a one-step online converter.
