Free online DBF to PDF converter

Recipients may need a fixed, printable copy when they do not have the legacy database program that opens a DBF file. PDF makes the visible records easier to share and archive without requiring database software.

What the DBF format is

DBF, or dBase format, stores tabular records in fields such as names, dates, numbers, and text. dBase, Visual FoxPro, Clipper, and older accounting, inventory, point-of-sale, and GIS applications use DBF files; shapefiles commonly use DBF files for attribute tables.

A DBF file contains data rather than a finished report layout. The opening application determines column widths, formatting, sorting, and which records are displayed. Some DBF variants store long-text memo fields in a separate file, commonly .DBT or .FPT, so the related file must remain available when those fields are needed.

What the PDF format is

PDF is a page-oriented document format for viewing, printing, sharing, and archiving. It records page breaks, column placement, fonts, and supported formatting so the output generally looks the same across operating systems and devices.

PDF is appropriate for reading or printing a snapshot of the records, but it is not a replacement for the database. Filtering, sorting, editing fields, and importing data back into a database are limited or unavailable in a PDF.

How to convert a DBF file

Using the built-in converter

1. Open the DBF-to-PDF converter on 101convert.com.
2. Select the .dbf file. If the file uses a separate memo file and the converter requests it, provide the matching .dbt or .fpt file as well.
3. Start the conversion and wait for the PDF to be created.
4. Download the PDF and inspect several pages for missing memo text, incorrect characters, dates, numeric values, and clipped columns.

This option requires no local installation. Avoid uploading confidential customer, financial, medical, or employee data unless the service's privacy and retention terms are acceptable.

Using LibreOffice Calc

1. Install LibreOffice and open Calc.
2. Select File → Open, choose the DBF file, and confirm the detected dBase format.
3. In the import dialog, select the correct character encoding, especially if the table contains accented or non-Latin characters.
4. Adjust column widths, number formats, page orientation, margins, print range, and repeated header rows as required.
5. Select File → Export as PDF, or use the PDF export button, and set the required page and image options.
6. Open the exported PDF and verify that the intended records and columns are present.

Calc is useful when the output needs a title, selected columns, filters, landscape orientation, controlled pagination, or a defined print range. Exporting from the original database application may be preferable when it is available because that application is more likely to interpret its own DBF variant and memo fields correctly.

Quality and compatibility limits

• Use landscape orientation, suitable margins, and a smaller print scale for wide tables; otherwise columns can be clipped or divided across pages.
• Choose the DBF's actual character encoding before export. An incorrect encoding produces corrupted characters in the PDF.
• Date, currency, logical, and numeric fields can display differently according to the importing application's locale and formatting settings.
• Memo fields may be omitted when their associated .DBT or .FPT file is unavailable or unsupported.
• Indexes, relationships, linked files, application-specific formulas, and database behavior do not become part of a normal PDF export.
• Records marked as deleted, hidden by a filter, or excluded by a print range may not appear in the PDF. Confirm the selection before exporting.
• For large tables, export a filtered or paginated selection instead of creating an unnecessarily large document.
• Keep the original DBF and its associated files with the PDF when the data may later need searching, editing, or auditing.
