A PDF is needed when database records must be submitted, printed, shared, or archived for recipients who do not have software that can open the source file. The correct conversion route depends on whether .db3 contains a dBASE III table or a SQLite database.

What the DB3 format is

.db3 most commonly identifies a dBASE III table, an older DBF-style format used by dBASE III, FoxPro, Clipper, and business applications built on those systems. It stores fields and records in a single tabular file; long memo fields may be stored in a companion .dbt file. Some applications use the same extension for SQLite databases, which can contain multiple tables, indexes, relationships, and application-specific schema data. The extension alone does not establish the internal format.

What the PDF format is

PDF is a fixed-layout document format designed to preserve page size, text placement, fonts, images, and printing behavior across operating systems. It is suitable for a readable report or snapshot of database contents, but it does not preserve editable tables, indexes, relationships, queries, forms, validation rules, or database behavior.

Convert a dBASE III file locally

For local processing, work on a copy of the source. DBF-compatible desktop software may reject the nonstandard .db3 extension even when the contents are a dBASE table. If the format has been verified, rename the copy to records.dbf; changing the extension only helps the application recognize the file and does not convert its contents.

1. Keep records.dbt beside records.dbf if the table contains memo fields.
2. Open the copy in LibreOffice Calc or another DBF-compatible database viewer.
3. Confirm the character encoding, field names, dates, decimal values, logical fields, and memo text.
4. Set the paper size, orientation, margins, scaling, print area, and repeated header rows. Use landscape orientation or a larger paper size for wide tables.
5. Choose File → Export as PDF, or use File → Print and select an installed PDF printer.

LibreOffice Calc can open many DBF files, but very old or unusual dBASE variants may require a dedicated DBF viewer or the original database application. Microsoft Excel is not a reliable direct reader for every DB3 file; an appropriate DBF driver or an intermediate CSV export may be required.

Convert a SQLite database using the DB3 extension

Check the file before opening it with a DBF reader. A SQLite installation can list its tables with:

sqlite3 database.db3 ".tables"

If tables are listed, open the database in DB Browser for SQLite or another SQLite-compatible application. Export the required table or query to CSV, open the CSV in LibreOffice Calc, adjust the print layout, and choose File → Export as PDF. A SQLite file can contain several unrelated tables, so select the records that belong in the report instead of treating the whole database as one table.

Quality and compatibility checks

• Old dBASE files may use code pages such as CP437, CP850, or Windows-1252. Select the encoding used by the source application to prevent accented characters from becoming replacement symbols.
• Modern software can reinterpret dates, decimal separators, null values, and logical fields. Compare representative PDF records with the source before distribution.
• PDF output normally contains displayed values only; it does not reproduce DB3 indexes, relationships, queries, forms, macros, or validation logic.
• Wide fields can be clipped or scaled below readable size. Adjust the page layout or filter and summarize the data before exporting.
• Large tables can create thousands of pages. Export a filtered report or selected records when a complete table listing is not required.
