How to convert mdb to pdf file

PDF is needed when an Access database must be shared with people who do not have Microsoft Access, printed consistently, or retained as a fixed record. The conversion produces a document from selected database output, not a replacement database.

MDB format and its users

MDB is the Microsoft Access database format used by Access 2003 and earlier; later Access versions can still open many MDB files. An MDB database can contain tables, queries, relationships, indexes, forms, reports, macros, VBA modules, and linked-table definitions.

MBD files are common in legacy business systems, internal inventory tools, contact databases, accounting applications, and older Access-based workflows. Microsoft Access is the most reliable application for opening an MDB file and rendering its reports. Other database programs may read tables through drivers but usually cannot reproduce Access forms, reports, VBA code, or external data connections.

PDF format and its limits

PDF is a fixed-layout document format intended for consistent viewing and printing across operating systems and devices. It can preserve text, fonts, images, page size, headers, and page numbering when exported directly from Access.

A PDF does not retain editable tables, relationships, queries, forms, macros, or VBA modules. It contains a snapshot of selected output, such as a report, form, query result, or table listing. Text may not be searchable or selectable when the PDF is produced through an image-based printer driver.

Convert an MDB file to PDF

Decide which Access object should be exported before converting. An Access report is normally the best source because it controls sorting, grouping, column widths, headers, margins, and page breaks.

To convert without installing software, upload the MDB file to 101convert.com, choose PDF as the output format, start the conversion, and download the PDF. Check the result carefully: an MDB file can contain multiple tables and reports, and there is no single universal printable view for every database.

For the most accurate result, export from Microsoft Access:

  1. Open the MDB file in Microsoft Access. Enable macros or active content only if the file is from a trusted source; MDB files can contain VBA code.
  2. Open the required report, form, table, or query. Create a report first when exporting a table or query that needs repeatable headers, controlled widths, grouping, or page breaks.
  3. Check the layout in File → Print Preview or the report's print preview. Set paper size, orientation, margins, scaling, filters, and sorting before export.
  4. Select the object, then use External Data → PDF or XPS. Choose PDF (*.pdf), set the destination filename, and select Publish.
  5. Select Standard (publishing online and printing) for print-quality output, or Minimum size (publishing online) when a smaller file is more important than image quality.

Access 2007 may require Microsoft's Save as PDF or XPS add-in. Access versions without PDF export can print the selected object through an installed PDF printer, but direct PDF export generally gives better text and font preservation.

Quality and compatibility checks

Run parameter queries and apply the required filters before exporting. The PDF records only the rows returned at export time, not the query logic or future database changes.

Wide datasheets often split columns across pages or shrink text excessively. Use landscape orientation, remove unnecessary fields, set explicit column widths, or redesign the output as a report.

MDB files can depend on linked tables, ODBC connections, external files, ActiveX controls, and VBA procedures. A browser converter or another computer may not have those dependencies, so export from the original Access environment when the document must match operational data.

Password-protected MDB files require valid credentials before export. Apply separate PDF password protection or access controls when the output contains confidential records.
