Businesses often receive legacy database tables in DBF format but need an editable document for reporting, printing, or sharing. What the DBF format is

DBF, or dBASE format, stores structured records in fields and rows. Each field has a name, data type, and length; common types include character, numeric, date, logical, and memo fields.

dBASE, FoxPro, Clipper, Visual FoxPro, and many older accounting, inventory, GIS, and point-of-sale applications create DBF files. You may also encounter DBF tables alongside shapefiles or inside legacy database folders containing files such as customers.dbf, customers.dbt, or customers.fpt.

What the RTF format is

RTF, or Rich Text Format, is a document format supported by Microsoft Word, LibreOffice Writer, WordPad, and many other word processors. It preserves basic formatting such as fonts, headings, bold text, tables, margins, and page breaks while remaining more interoperable than some application-specific formats.

RTF is suitable when DBF records must be delivered as a readable report or edited manually. It is not a database format: converting to RTF removes field-level querying, indexes, relationships, validation rules, and most database behavior.

How to actually convert DBF to RTF

Using LibreOffice

1. Make a backup of the DBF and any associated memo files, such as .dbt or .fpt.
2. Open LibreOffice Calc and choose File → Open. Select the .dbf file.
3. In the import dialog, select the character set that displays accented characters correctly. If the file comes from an older DOS application, try an appropriate DOS code page rather than UTF-8.
4. Review the columns, dates, decimal values, and memo fields. Select the required range and copy it.
5. Open LibreOffice Writer, choose File → New → Text Document, and paste the data using a table or unformatted-text option.
6. Adjust column widths, page orientation, headings, and number formats. Choose File → Save As, select Rich Text Format (.rtf), and save the document.
7. Open the resulting .rtf file in the target word processor and verify several records, including dates, long text, non-ASCII characters, and empty fields.
