Free online DBF to DOCX converter

A DBF table is often converted when records must be sent as a Word document for review, printing, signing, or records retention. The resulting DOCX presents the data as editable document content rather than as a database table used by the original application.

DBF format

DBF is a table-based database format introduced with dBASE and later used by FoxPro, Clipper, Visual FoxPro, GIS applications, and older line-of-business systems. A DBF table stores records in rows and predefined fields such as text, numbers, dates, and logical values.

GIS shapefiles commonly use a matching .dbf file for attribute data. Some DBF-family applications also use companion files: .dbt or .fpt files can contain memo-field text, while .idx and .cdx files contain indexes. Keep companion files with the DBF when opening or exporting it, especially if memo fields are required.

DOCX format

DOCX is the Office Open XML word-processing format used by Microsoft Word and supported by LibreOffice Writer and other document editors. It stores formatted text, tables, page layout, headers, footers, images, and styles in a ZIP-based XML package.

DOCX is appropriate for a readable report or an editable table. It does not retain DBF indexes, field definitions, relationships, filtering rules, or database behavior.

Convert the file

For control over the table layout, clean the data before creating the document:

1. Open the DBF in the application that created it, a DBF-capable viewer, or LibreOffice Calc.
2. Verify column names, character encoding, dates, decimal values, and leading-zero identifiers before export.
3. Export the required records to a UTF-8 CSV file, or copy the selected rows directly from the table application.
4. Open the exported data in LibreOffice Calc or Excel, remove unnecessary columns, reorder fields, and set column widths.
5. Copy the selected cells and paste them into Microsoft Word or LibreOffice Writer as a table.
6. Set table widths, heading styles, margins, and page orientation, then save through File → Save As as records.docx.

Do not rename .dbf to .docx; the formats have unrelated internal structures. Microsoft Word is not a reliable DBF reader, so use a DBF-capable program or the built-in converter before editing the document.

Data and layout checks

Legacy DBF files may use DOS or Windows code pages rather than UTF-8. If accented characters, names, or symbols display incorrectly, reopen the DBF in software that permits code-page selection, choose the source encoding, and export UTF-8 CSV before making the DOCX.

Check identifiers such as account numbers, ZIP or postal codes, and product codes. Spreadsheet software can remove leading zeroes or reinterpret long numeric identifiers; set those columns to text before copying them into the document.

Wide DBF tables may not fit on a portrait page. Use landscape orientation, narrower margins, a smaller table font, and repeated header rows; split very large exports into separate documents when necessary.

The DOCX is an editable presentation of the records, not a usable database replacement. Keep the original .dbf and any required memo or index files when the data must remain searchable, updateable, or compatible with its source database or GIS software.
