Bibliography managers and LaTeX projects often require a .bib database, while source references may arrive in an .rtf document from Word or another word processor. Because RTF stores formatted text rather than structured citation fields, conversion usually requires extraction and verification rather than a perfect format change.

What the RTF format is

RTF, or Rich Text Format, is a document format that stores readable text together with styling such as fonts, sizes, boldface, italics, colors, paragraphs, and basic layout instructions. Microsoft Word, WordPad, LibreOffice Writer, and many email or office applications can create or open RTF files.

RTF is commonly used when a document must preserve basic formatting across word processors without relying on a proprietary document format. A bibliography saved as RTF may look structured to a person, but its entries are usually only paragraphs containing names, titles, dates, and punctuation; RTF does not normally identify those parts as BibTeX fields.

What the BIB format is

.bib is usually a plain-text BibTeX bibliography database. It stores records such as @article, @book, and @inproceedings, with fields including author, title, journal, publisher, year, volume, number, pages, doi, and url.

BIB files are used by LaTeX citation systems such as BibTeX and Biber, and can also be imported by reference managers including JabRef, Zotero, and BibDesk. They are small, version-control-friendly, and editable with any plain-text editor, but their usefulness depends on correctly assigning each source detail to the appropriate field.

How to actually convert RTF to BIB

Use the built-in online converter

  1. Open the RTF-to-BIB converter on 101convert.com.
  2. Upload the .rtf file or use the file-selection control.
  3. Choose BIB as the output format and start the conversion.
  4. Download the resulting .bib file, then open it in JabRef, BibDesk, or a plain-text editor.
  5. Check every entry before using it in LaTeX or a citation manager; an RTF bibliography may not contain enough information for automatic field detection.

This route requires no installed software, but it cannot infer missing metadata reliably when the source document contains ordinary formatted references rather than embedded citation records.

Extract and build the database manually

  1. Open the source in LibreOffice Writer or Microsoft Word and inspect whether each reference occupies a separate paragraph.
  2. Copy the bibliography into a plain-text editor, or use File → Save As and select a text format if the word processor offers it. Remove page headers, footers, numbering, and explanatory text.
  3. Create one BibTeX record for each source. Assign a unique citation key, such as smith2024, and map the visible details to fields such as author, title, year, and publisher.
  4. Save the file with a .bib extension using UTF-8 encoding. If the editor adds .txt, rename the file only after confirming that the complete filename is references.bib.
  5. Open the file in JabRef or another BibTeX validator and correct missing braces, unmatched quotation marks, invalid entry types, duplicate keys, and malformed author names.

A typical record has this form:

@book{smith2024,
  author = {Smith, Jane},
  title = {Example Book},
  publisher = {Example Press},
  year = {2024}
}

Quality and compatibility limits

There is no universal, lossless RTF-to-BIB mapping. RTF preserves presentation, while BIB requires bibliographic semantics; a line such as “Smith, J. (2024). Example title. Example Press.” must be interpreted before it can become reliable author, year, title, and publisher fields.

Automatic conversion may lose accents, en-dashes in page ranges, italics used to distinguish titles, multiple authors, corporate authors, edition numbers, DOI links, and references split across wrapped lines. Preserve names with BibTeX braces where capitalization matters, escape reserved characters such as & and %, and use Biber when the project needs modern Unicode and non-Latin metadata.

If the RTF was exported from a reference manager, obtain the original RIS, BibTeX, BibLaTeX, EndNote XML, or similar export instead; those formats retain citation fields and produce substantially more accurate results than parsing formatted paragraphs.
