What the MDB format is
.mdb is the legacy Microsoft Access database format associated mainly with Access 2003 and earlier, although newer Access versions can open and create MDB databases. An MDB file can contain tables, saved queries, forms, reports, macros, relationships, indexes, and security settings. MDB files are common in older business, accounting, inventory, and Windows applications.
Only data selected for export normally becomes worksheet content. Forms, reports, relationships, permissions, VBA code, navigation, and other database objects do not become equivalent Excel features.
What the Excel format is
Excel workbooks use .xlsx by default and .xls for the older Excel 97–2003 format. Excel is suited to sorting, filtering, formulas, charts, pivot tables, and data distribution to users who do not need a relational database.
Use .xlsx unless the receiving application requires .xls. An XLSX worksheet supports up to 1,048,576 rows and 16,384 columns; XLS is limited to 65,536 rows and 256 columns per worksheet and does not support many newer Excel features.
How to convert MDB with Microsoft Access
- Make a backup copy of the MDB file and open the copy in Microsoft Access. Supply the database password if required.
- Select the table or saved query to export. Use a query when the workbook needs filtered, joined, sorted, or calculated results rather than the complete raw table.
- In current Access versions, choose External Data → Export → Excel. In older versions, use the corresponding File → Export command.
- Choose an output path and filename, select
.xlsxor.xlswhen Access offers both, and enable the option to include field names if required. - Confirm the export, then open the workbook in Excel and verify the row count, column names, dates, numeric values, null values, and long-text fields.
Export each table or query separately when several worksheets are needed. Access exports the selected result, not a complete workbook that automatically preserves primary-key and foreign-key relationships.

- Data types can change. Yes/No fields may appear as
TRUE/FALSEor1/0. Date/time, currency, attachment, multivalued, OLE Object, and null values should be checked after conversion. - Formatting is limited. Table and query values transfer more reliably than forms, reports, calculated controls, conditional formatting, macros, and database navigation.
- Worksheet limits still apply. A table larger than the selected Excel format allows must be filtered or divided across worksheets or files. Long text, duplicate field names, invalid worksheet characters, and memory limits can also affect an export.
- Database security does not transfer. MDB passwords, user permissions, encryption, and macros do not become equivalent Excel protections. Remove unnecessary confidential columns and apply separate workbook protection when required.
