Programs built for Microsoft Access may require an .mdb database instead of an OpenDocument spreadsheet. Conversion is also useful when worksheet data must become searchable Access tables for queries, forms, or reports.

What ODS and MDB contain

ODS is the OpenDocument Spreadsheet format used by LibreOffice Calc, Apache OpenOffice Calc, and other spreadsheet applications. It can contain multiple worksheets, formulas, charts, formatting, filters, and data tables.

MDB is Microsoft Access’s legacy database format based on the Jet database engine. An MDB file can contain related tables, queries, forms, reports, indexes, and macros, so it supports structured data management rather than only a grid of cells. Access versions from 2007 onward primarily use .accdb, but they can still create or open MDB databases when the required compatibility options and database engine are available.

MDB is suitable for older Access applications and compatibility with systems that specifically require Jet databases. It has a maximum file size of about 2 GB and is less suitable than ACCDB for newer Access features, large datasets, and modern application development.

How to convert ODS to MDB

There is usually no direct, lossless ODS-to-MDB conversion because the formats represent different structures. The dependable desktop method is to export each worksheet as delimited text, import it into Access, and define the database structure there.

1. Open the ODS file in LibreOffice Calc or Apache OpenOffice Calc. Inspect worksheet names, header rows, formulas, merged cells, hidden rows, and inconsistent values before exporting.
2. Export each worksheet that will become a table using File → Save As. Select Text CSV (.csv) and configure the delimiter, text qualifier, character encoding, and decimal settings. Export worksheets separately when the workbook contains multiple tables.
3. Open Microsoft Access and create a blank database in the .mdb format, or open an existing MDB file. In newer Access versions, select the legacy database format when creating or converting the file; otherwise Access may create an .accdb file.
4. Import each CSV with External Data → New Data Source → From File → Text File or the equivalent External Data → Text File command in older Access versions. Choose Import the source data into a new table or append it to an existing table.
5. In the import wizard, specify whether the first row contains field names, confirm the delimiter and text qualifier, and set each field’s data type. Choose a primary key or let Access add an ID field when the source has no reliable unique identifier.
6. Repeat the import for other worksheets. Create indexes, relationships, validation rules, queries, forms, and reports in Access after the tables are imported, then save and test the MDB database.

Quality and compatibility limits

• CSV carries cell values and basic text structure, not formulas, charts, formatting, multiple worksheets, comments, named ranges, or spreadsheet print settings. Formula cells are normally imported as their displayed results, so recalculate and verify values before exporting.
• Access guesses field types from sampled rows. Mixed numbers and text, empty values, long identifiers, leading zeros, percentages, and dates can be misinterpreted. Set field types manually and import identifiers such as postal codes or product codes as short text.
• Encoding and separators matter. Use UTF-8 when available, select the same delimiter used during export, and verify accented characters, quotation marks, embedded line breaks, and decimal commas after import.
• A worksheet does not automatically become a normalized relational design. If the workbook contains repeated groups or several related sheets, import them into separate tables and create primary and foreign keys instead of keeping duplicated columns.
• Access table and field-name rules, reserved words, maximum field lengths, and the MDB file-size limit can require renaming fields, shortening values, or splitting a large database.
• Review dates, times, Boolean values, nulls, calculated columns, and duplicate rows in Access. A successful import confirms file structure, not that every value retained its intended meaning.
