Convert VSDX to WORD

Recipients often need a Visio diagram inside a report or specification that they can open without Visio. Converting it to Word also makes it easier to add surrounding text, captions, comments, and tracked changes in a .docx file.

What the VSDX format is

.vsdx is the standard Microsoft Visio drawing format used by Visio 2013 and later. It is a ZIP-based Office Open XML package containing diagram pages, shapes, connectors, layers, themes, data links, and other drawing metadata.

Visio uses VSDX for flowcharts, network diagrams, organization charts, floor plans, process maps, UML diagrams, and business-process documentation. A VSDX file is a structured Visio drawing, not a Word document or a single image.

What the Word format is

Microsoft Word normally saves documents as .docx; the older binary .doc format remains necessary for some legacy systems. Word documents combine paragraphs, tables, images, captions, comments, tracked changes, accessibility properties, and page layouts.

A diagram placed in Word is normally an image or an embedded Visio object. Its Visio shapes do not automatically become independently editable Word shapes or paragraphs.

Copy the diagram as a graphic

Use this method when the diagram only needs to display correctly in the document.

1. Open the VSDX file in Microsoft Visio desktop and check every required page, font, connector, and data label.
2. Select the required page or drawing content. For a large diagram, adjust the page orientation and size with Design → Orientation and Design → Size.
3. Copy the content with Home → Copy.
4. In Word, choose Home → Paste → Paste Special.
5. Select Picture (Enhanced Metafile). EMF generally preserves Visio lines and text more cleanly than a bitmap and remains scalable within Office. Use PNG or another raster format only when wider non-Office compatibility is required.
6. Resize and position the graphic in Word, then save through File → Save As as .docx.

Repeat the operation for each Visio page. This produces a graphic rather than editable Visio shapes, but it is usually the most portable result.

Embed the original Visio object

Use an embedded object when the recipient must retain access to the original Visio structure.

1. In Word, select Insert → Object → Create from File → Browse.
2. Select the original .vsdx file and confirm the insertion.
3. Save the Word document as .docx.

The VSDX is stored inside the Word file, so the document can become substantially larger. Opening or editing the embedded drawing normally requires Microsoft Visio, or a compatible Visio OLE handler, on the destination computer. Embedding does not convert Visio shapes into native Word content and can reduce portability.

Convert through PDF for multiple pages

For a multi-page drawing, export the pages to PDF in Visio with File → Export → Create PDF/XPS. Open the PDF in Word using File → Open, allow Word to convert it, and save the result as .docx.

This workflow preserves page order and is convenient for reports, but Word may import pages as fixed graphics or reconstruct text and lines imperfectly. Text selection, connector positions, font substitution, spacing, and page breaks can change. A PDF is often preferable when exact visual appearance matters and editing is unnecessary.

Use an online converter

Services such as CloudConvert, Convertio, and Aspose may offer direct VSDX-to-DOCX conversion, but available formats and limits can change. Before uploading, confirm that the service lists VSDX as the input and DOCX as the output; otherwise convert VSDX to PDF first and then PDF to DOCX.

Upload only files permitted by your organization’s data policy. Online conversion sends the diagram to a third party and may expose confidential network plans, floor plans, or business data. Download the result, inspect every page, and delete the uploaded and converted files from the service when its retention controls allow it.

Quality and compatibility limits

Visio’s shape-and-page model has no exact equivalent in Word’s document model. An EMF paste usually gives the clearest scalable graphic, but it remains one object. PDF conversion can preserve the appearance better across pages while producing less reliable editable content.

Check that required fonts are installed on the destination computer. Large diagrams can become unreadable on a portrait page; use landscape orientation, a larger paper size, or one diagram per page. If the recipient needs to edit shapes, send the original VSDX as well as the Word document, or keep the diagram embedded and state that Visio is required.
