Convert PUB to INDD

A Publisher layout may need conversion when a print shop or Adobe-based production team requires an InDesign file for editing, preflight, or packaging. Adobe InDesign cannot open .pub files natively, so the practical choices are a specialist converter for editable output or PDF placement when preserving appearance matters more than editability.

What the PUB format is

.pub is the native document format of Microsoft Publisher, a desktop-publishing application used for brochures, flyers, newsletters, business cards, labels, calendars, and similar page layouts. A PUB file can contain text frames, graphics, tables, drawing objects, page settings, and embedded or linked images. It is common in office and older Windows-based publishing workflows. Microsoft has announced that Publisher reaches end of support in October 2026, but existing files still require compatible software to open or convert them.

What the INDD format is

.indd is Adobe InDesign’s native document format. It stores editable page layouts, text frames, styles, parent pages, layers, placed graphics, tables, and document settings. InDesign is the better target when the layout must continue through an Adobe production workflow, use advanced typography, or be packaged with linked assets and fonts. An INDD file does not embed or license the fonts used by the document; the required fonts must be available on the destination system.

How to convert PUB to INDD

Use a specialist converter for editable output

1. Keep an untouched copy of the original .pub file. Gather any linked images, graphics, and font files used by the publication.
2. Install a converter release compatible with the PUB version, operating system, and destination InDesign version.
3. Open or import the PUB file in the converter and select InDesign output. Choose .indd when the target InDesign release supports it. Choose .idml when the converter provides it and the target uses an older InDesign release; IDML is InDesign’s version-flexible interchange format.
4. Review conversion settings for page size, bleed, layers, fonts, links, color, and text handling, then export the file.
5. Open the result in InDesign. Resolve missing fonts and links, inspect every page for changed text wrapping and object positions, and run File → Preflight.
6. For delivery, use File → Package to collect the INDD or IDML file, linked graphics, and a fonts report. Font licensing may prevent copying the actual font files.

Use Publisher and PDF when visual fidelity matters

If an editable conversion is unavailable or fails quality checks, open the file in Microsoft Publisher and select File → Export → Create PDF/XPS Document. Choose the required print or commercial-press quality preset and confirm the page size, bleed, image resolution, and color requirements.

In InDesign, create a document with matching page dimensions, select File → Place, enable Show Import Options, and place the PDF page or pages. The result is an INDD document containing placed PDF pages, not a native reconstruction of the Publisher layout. PDF text, images, and drawing objects remain largely unavailable as separate editable InDesign objects, so substantial changes require rebuilding the page.

For nonconfidential files, a reputable online service such as Zamzar may convert PUB to PDF when its current format list supports the upload. This is useful for viewing or placing finished pages, but it does not create an editable INDD file. Uploading customer, financial, unpublished, or otherwise sensitive documents to an online service may violate confidentiality or retention requirements; use local software instead.

Quality and compatibility limits

No native Microsoft Publisher or Adobe InDesign command directly opens a PUB file as an INDD document. Automated converters can change text wrapping, unsupported Publisher effects, tables, groups, transparency, gradients, WordArt, hyperlinks, parent-page behavior, and layer structure. A font substitution can alter line breaks, page count, and object positions even when the page initially looks similar.

After conversion, check page dimensions, margins, bleed, overprint, spot colors, transparency, image resolution, hyperlinks, and output separations. Export a proof PDF from InDesign and compare it with the original Publisher output before sending the file to print. A PDF preserves the rendered appearance more reliably than an editable conversion, while specialist conversion preserves more structure but always requires manual inspection.
