What the VCF format is

VCF, also called vCard, is a text-based contact-exchange format used by phones, address-book applications, email clients, and CRM systems. A file can contain one contact or many BEGIN:VCARD and END:VCARD blocks.

Typical properties include names, organizations, job titles, telephone numbers, email addresses, postal addresses, birthdays, notes, categories, web addresses, and photos. VCF files commonly appear when exporting an address book, transferring contacts between devices, or receiving a contact as an attachment.

VCF properties are not arranged in spreadsheet columns, so conversion must map fields such as TEL, EMAIL, ADR, ORG, and NOTE to columns. A photo may be embedded as encoded data rather than as a separate image file.

What the XLS format is

XLS is Microsoft Excel’s legacy binary spreadsheet format, associated primarily with Excel 97–2003. It stores values in rows and columns and supports sorting, filtering, formulas, formatting, charts, and printing.

The format is appropriate when the receiving application requires legacy Excel files or when contacts need spreadsheet-based review and manipulation. Each worksheet is limited to 65,536 rows and 256 columns; larger address books may require multiple sheets or the newer .xlsx format.

How to convert VCF to XLS

Using Thunderbird and LibreOffice

  1. Open Thunderbird’s address-book manager and import contacts.vcf using the address-book import command, commonly found under Tools → Import.
  2. Select the imported address book and export it as contacts.csv. Thunderbird may offer CSV, LDIF, or tab-delimited formats; choose CSV.
  3. Open the CSV file in LibreOffice Calc. In the import dialog, select UTF-8, enable comma separation, and check quoted fields and embedded line breaks.
  4. Inspect and edit the columns, remove duplicates if necessary, then use File → Save As and select Excel 97–2003 (.xls).
  5. Confirm the legacy-format warning and reopen the saved XLS file to check the result.

This desktop route is useful when field names must be changed, combined values must be split, or sensitive contacts must remain on the computer. Microsoft Excel and LibreOffice Calc can edit the intermediate CSV, but Excel does not reliably provide a direct VCF-to-XLS import workflow.

Quality and compatibility limits

There is no universal VCF-to-spreadsheet column layout. A converter may place mobile, home, and work numbers in separate columns, combine them in one cell, or omit type labels. Review mappings for TEL, EMAIL, ADR, ORG, NOTE, and PHOTO.

Photos, contact groups, custom properties, preferred-number flags, and some labels usually do not survive conversion to XLS. Multi-line notes may become cells containing line breaks, and postal addresses may be combined or divided into street, city, region, postal-code, and country columns.

Use UTF-8 during CSV import to preserve accented names and non-Latin scripts. Format telephone columns as text so Excel does not remove leading zeroes, plus signs, or extension formatting. Check values beginning with =, +, -, or @, because spreadsheet software can interpret contact data with these prefixes as formulas; treat such cells as text before sharing the file.
