What the NBF format is

In the contacts and address books category, NBF means Nokia Backup File. Nokia PC Suite created NBF files when backing up older Nokia phones; the backup can contain contacts, calendar entries, notes, messages, settings, and other phone data.

NBF is a proprietary backup container, not a spreadsheet. Its contents are not reliably readable by Excel, and changing the extension to .xls does not convert the data. You normally need Nokia PC Suite or an NBF-compatible extractor to recover the contacts first.

What the XLS format is

XLS is the legacy Microsoft Excel 97–2003 workbook format. It stores tabular data in worksheets, so each contact can occupy one row with columns for name, telephone number, email address, company, postal address, and notes.

XLS is useful for sorting, filtering, deduplicating, printing, and editing contacts in Microsoft Excel, LibreOffice Calc, and other spreadsheet applications. It supports up to 65,536 rows and 256 columns per worksheet; larger exports should use XLSX or CSV instead.

How to actually convert NBF to XLS

Use the built-in online converter

1. Make a copy of the original .nbf file.
2. Open the NBF-to-XLS conversion page on 101convert.com.
3. Upload the copy, choose XLS as the output format, and start the conversion.
4. Download the resulting workbook and open it in Excel or LibreOffice Calc.

This method is suitable when the converter can identify the contact records inside the backup. If the file contains several backup categories, the output may include only the contacts that can be mapped to spreadsheet columns.

Recover contacts first, then save them as XLS

1. Install a compatible version of Nokia PC Suite on a system that can run the legacy software.
2. Open the backup or restore it to the original or a compatible Nokia phone. Do not overwrite the phone's current contacts without making a separate backup.
3. Open PC Suite's contacts application and use its export function if available. If the version only synchronizes contacts, synchronize them with Outlook or another supported address book, then export them as CSV or vCard.
4. For an NBF that cannot be opened by PC Suite, try an NBF-compatible desktop extractor such as NBFExplorer. Extract the contact data only; unrelated backup files do not convert meaningfully to spreadsheet rows.
5. Open the exported CSV in LibreOffice Calc using File → Open. Select the correct character encoding, usually UTF-8, and verify the delimiter and quoted text settings.
6. Save the worksheet with File → Save As, choose Excel 97–2003 (*.xls), and confirm the format warning.

Quality and compatibility limitations

NBF backups were designed for restoration, not interchange. Contact names, telephone numbers, and email addresses usually map well to columns, but Nokia-specific groups, linked contacts, contact photos, custom fields, and synchronization metadata may be omitted or flattened.

Inspect phone numbers after conversion: spreadsheet programs can remove leading zeros, interpret plus signs, or convert long numbers to scientific notation. Format telephone columns as text before saving, and check dates and non-ASCII names for encoding errors.

A password-protected, damaged, or phone-specific backup may require the original Nokia PC Suite environment and device before its contacts can be extracted. Keep the original NBF unchanged until the XLS file has been opened and manually checked.
