What the MBOX format is

MBOX is a plain-text mailbox format that stores multiple email messages sequentially in one file. Each message normally contains its headers, body, MIME structure, and references to attachments; the file may represent an entire mailbox or one exported folder.

Mozilla Thunderbird, Apple Mail, Evolution, mutt, Unix mail systems, and some backup utilities create or import MBOX files. Google Takeout can also export Gmail mail in MBOX form. You usually encounter the format when migrating between mail clients, recovering an old mailbox, or downloading an email archive.

What the PDF format is

PDF is a fixed-layout document format designed to preserve text placement, fonts, images, page dimensions, and print output across operating systems. PDF files can be opened with browsers and dedicated readers without access to the original mailbox program.

Use PDF when messages must be submitted as documents, printed, attached to a case file, shared with people who do not use the source email client, or retained with a stable visual layout. A PDF is not a mailbox: it normally does not preserve mail-client folders, message threading, labels, flags, or searchable mail metadata in the same way as MBOX.

How to actually convert MBOX to PDF

Convert the file online

1. Open the MBOX-to-PDF converter on 101convert.com.
2. Select the .mbox file from your computer. If the archive contains sensitive correspondence, check the service's current file-handling and retention information before uploading it.
3. Start the conversion and wait for processing to finish. Large archives can take longer because each message must be parsed and laid out as document content.
4. Download the generated .pdf file and open it in a PDF reader to verify message order, readable characters, page breaks, and attachment references.

This option requires no installed email client or conversion software and is suitable when the archive is a normal Internet-mail MBOX file and a single PDF output is acceptable.

Use Thunderbird for selected messages

1. Install Mozilla Thunderbird and create a local folder for the archive.
2. Import the MBOX file with the ImportExportTools NG extension, or place the file in Thunderbird's local-mail directory while Thunderbird is closed, then reopen the application.
3. Open the required message, choose File → Print, select the system PDF printer, and save the result as a .pdf file. On macOS, choose PDF → Save as PDF in the print dialog.
4. Repeat the print operation for each message that needs an individual PDF.

Thunderbird is useful for checking an archive and converting a small number of messages, but its standard print workflow is not an efficient bulk exporter. For hundreds or thousands of messages, use a converter that can process the mailbox as a batch or divide the archive into smaller mailboxes first.

Prepare the archive before conversion

Make a copy of the original MBOX and work from the copy. MBOX files can be large, and some programs lock or rewrite them during import. If the archive contains several folders or accounts, identify the correct file before conversion; an MBOX file does not always have a filename extension.

Quality, compatibility, and limitations

• Attachments: A PDF may show attachment names or embedded previews rather than preserving every attachment as an independently usable file. Keep the original MBOX and extract important attachments separately.
• HTML email: Complex newsletters can change appearance because remote images, web fonts, scripts, tracking elements, and unsupported CSS are not guaranteed to render in a PDF.
• Character encoding: Modern UTF-8 messages usually convert correctly, but malformed legacy encodings can produce replacement characters. Verify non-Latin text after conversion.
• Headers and metadata: From, To, Date, and Subject fields are commonly included in the rendered message, but internal flags, folder paths, labels, threading data, and full transport metadata may not be.
• Large archives: A mailbox containing many messages may produce a very large PDF and can be difficult to navigate. Separate it by date, folder, or message set when practical.
• Searchability: Text-based email generally remains searchable in the PDF. Scanned images or image-only message content require OCR and may not produce accurate searchable text.
• Evidence and archiving: Preserve the untouched MBOX alongside the PDF when authenticity, complete headers, or later mailbox migration matters. The PDF is a presentation copy, not a complete replacement for the source archive.
