A support portal, records system, or recipient may accept PDF but not an exported email file. Converting the message creates a page-oriented copy that is easier to print, submit, share, and archive without the original mail application.

What the EML format is

.eml is a text-based email file that follows MIME conventions. It can contain message headers, sender and recipient addresses, subject, dates, a plain-text or HTML body, inline images, and attachments; binary content is commonly encoded inside MIME parts rather than stored as readable text.

Mozilla Thunderbird, Microsoft Outlook, Windows Mail, Apple Mail, and other mail programs can create or open EML files. They commonly appear when a user saves or exports a message, downloads an email from a support system, or receives an archived message as an attachment. An EML file retains the original message structure more fully than a printed copy, including MIME boundaries and technical headers.

What the PDF format is

PDF is a page-description format that records the rendered placement of text, images, fonts, margins, and page breaks. A PDF is usually easier to open across operating systems, print, submit to a portal, and store in a document-management system than an EML file.

Conversion normally produces a visual rendering, not a new mailbox message. The PDF may contain selectable or searchable text, but it does not reliably preserve the original MIME structure, every technical header, attachment data, or the ability to import the message into an email client. PDF is not automatically PDF/A; use a PDF/A-capable export when a records policy specifically requires that archival standard.

How to convert an EML file to PDF

Using 101convert

3. Confirm that the sender, recipients, date, subject, message body, HTML layout, and inline images appear correctly.
4. Choose File → Print. On Windows, select Microsoft Print to PDF; on macOS, select PDF → Save as PDF; on Linux, choose an installed PDF printer or PDF output option.
5. Set the page size, orientation, margins, and destination, then save the file with a descriptive name such as 2026-08-24-support-message.pdf.

Thunderbird is useful when another mail program displays the EML incorrectly, but its print output still depends on the message’s HTML, fonts, images, and printer settings.

Using another mail application

Outlook, Windows Mail, Apple Mail, and compatible applications may open an EML file directly. Open the message, choose File → Print or the application’s print command, and select the operating system’s PDF printer or save-to-PDF option. Check the result afterward because some programs show only the body, omit technical headers, block remote images, or handle HTML differently.

Quality and compatibility limits

• Attachments: Printing usually includes attachment names or icons, not the contents of the attached files. Open and convert each attachment separately if it must appear in the deliverable, then combine the PDFs if appropriate.
• HTML content: Blocked remote images, tracking pixels, web fonts, scripts, forms, and other active elements may be absent or nonfunctional. Loading remote images can change the displayed message and may contact external servers.
• Headers: A printed view may omit fields such as Received, Message-ID, authentication results, and MIME metadata. Preserve the original EML with the PDF when evidentiary, audit, or forensic completeness matters.
• Fonts and layout: Missing fonts, unusual CSS, very wide tables, long URLs, and different print margins can cause wrapping, clipped content, or extra pages. Review page breaks, legibility, and text search after conversion.
• Multiple messages: Basic print workflows normally process one EML file at a time. Batch conversion requires a desktop tool that explicitly supports it; verify the output count, filenames, ordering, and page breaks.
• Security: EML files can contain malicious HTML, links, and attachments. Use an updated mail client, keep active content restricted, scan attachments, and avoid opening unexpected files.
