A BibTeX database is often converted to DOCX when references must be edited in Microsoft Word, shared with someone who does not use LaTeX, or submitted as a formatted bibliography. The conversion renders citation records into a word-processing document; it does not turn the database into an equivalent editable citation library.

What the BIB format is

BIB usually means a BibTeX bibliography database: a plain-text file containing structured records such as @article, @book, and @inproceedings. Each record has fields including author, title, year, journal, publisher, and an internal citation key.

LaTeX, BibTeX, BibLaTeX, Overleaf, JabRef, Zotero, and other reference managers can create or export .bib files. You encounter them in academic projects, technical documentation, research archives, and repositories containing LaTeX source files. A BIB file stores bibliographic data rather than page layout, fonts, headings, or a finished list of references.

What the DOCX format is

DOCX is the Office Open XML word-processing format used by Microsoft Word, LibreOffice Writer, and other compatible editors. It stores paragraphs, styles, tables, page settings, images, and other document content in a structured ZIP-based package.

DOCX is suitable when recipients need to review, edit, print, or submit a formatted bibliography in Word. It is also easier to annotate and combine with ordinary report content than a raw BIB database. A DOCX file normally contains rendered references, not the original BibTeX fields and database behavior.

How to convert BIB to DOCX

Recommended method: Pandoc

Pandoc can use a BIB file as a bibliography source and generate a formatted DOCX document. Install Pandoc and a CSL citation style if you need a specific reference style.

  1. Put the source database in a working folder, for example references.bib.
  2. Create a Markdown file named references.md with this content:
---
bibliography: references.bib
nocite: |
  @*
---

# References

The @* entry includes every record in the BIB database. To include selected records only, replace it with citation keys such as @smith2022 and @jones2023.

  1. Run the following command in that folder:
pandoc references.md --citeproc -o references.docx

Pandoc reads the bibliography metadata, formats the records with its default style, and writes references.docx. To apply a CSL style, add a line such as csl: apa.csl to the YAML block and make sure apa.csl is available in the same folder.

For a bibliography that is already plain text and does not require citation processing, open the BIB file in a text editor, copy the relevant records into LibreOffice Writer or Word, and save through File → Save As with the DOCX format selected. This preserves source syntax rather than producing a properly formatted reference list.

Online conversion

You can convert the file on 101convert.com for free without installing software. Check the generated DOCX carefully because generic conversion may display BibTeX source entries as ordinary text instead of interpreting authors, titles, dates, and citation fields.

Quality and compatibility limits

  • A direct extension change from .bib to .docx is invalid; the formats have different structures.
  • BibTeX macros, custom field definitions, LaTeX commands, mathematical markup, accented characters, and nested braces may need cleanup before rendering.
  • Formatting depends on the citation style. Pandoc with --citeproc can format common styles, but it may not reproduce a publisher's exact LaTeX or BibLaTeX output.
  • Some BIB fields, including abstracts, keywords, URLs, and custom metadata, may be omitted from the visible bibliography unless the selected CSL style uses them.
  • Preserve the original .bib file. The DOCX output is a presentation of the records and may not retain citation keys, BibTeX syntax, macros, or all source fields in a form that can be reliably imported back.
