Understanding QBA and QBM file formats

QBA files are QuickBooks Accountant's Copy Working Files. These files are used by accountants to make changes to a client's company file without affecting the original data. The QBA format allows accountants to work on the file and later import their changes back into the client's company file.

QBM files are QuickBooks Portable Company Files. These are compressed versions of a QuickBooks company file, designed for easy transfer and backup. QBM files contain all the essential financial data but are much smaller in size compared to the full company file (QBW).

Why convert QBA to QBM?

Converting a QBA file to a QBM file is not a standard workflow in QuickBooks, as QBA files are meant for accountant collaboration, while QBM files are for backup and transfer. However, if you need to create a portable version of your accountant's copy after changes are made, you must first convert the QBA file back to a regular company file (QBW), and then export it as a QBM file.

How to convert QBA to QBM

1. Open the QBA file in QuickBooks Accountant Edition.
2. After making necessary changes, File → Accountant's Copy → Export Accountant's Changes to send changes back to the client.
3. Once the client imports the changes, they will have an updated QBW file.
4. To create a QBM file, open the updated QBW file in QuickBooks.
5. Go to File → Create Copy... and select Portable company file (QBM).
6. Save the QBM file to your desired location.

Important notes

• Direct conversion from QBA to QBM is not possible; you must first return to a QBW file.
