Finance applications may require an OFX statement import when the available transaction list is an Excel workbook. The conversion must turn spreadsheet rows into valid financial transactions with dates, signed amounts, descriptions, and stable identifiers.
What XLS contains
XLS is the legacy binary Microsoft Excel workbook format used by Excel 97–2003. It can contain multiple worksheets, formulas, formatting, charts, notes, totals, and unrelated tables; Microsoft Excel and LibreOffice Calc can open and edit it.
An XLS workbook is not a financial-exchange file. Before conversion, identify the sheet and contiguous table that represents one account’s transactions. Do not include title rows, repeated column headings, opening or closing balances, subtotals, blank separators, or summary formulas.
What OFX contains
OFX (Open Financial Exchange) is a structured statement format used by personal-finance and accounting software for bank, credit-card, investment, and bill-payment data. A bank transaction normally carries a posting date, signed amount, description or payee, transaction type, and a unique transaction ID.
OFX preserves transaction fields more reliably than a plain spreadsheet and gives importing software identifiers it can use to detect duplicates. OFX 1.x uses SGML-like tags, while OFX 2.x is XML; compatibility depends on the receiving application, and many desktop finance programs still commonly accept OFX 1.x statement files.
Prepare the transaction sheet
- Place one transaction on each row and use one header row.
- Keep columns for date, amount, and payee or description. Include a bank reference, statement line ID, or other unique value for the transaction ID when available.
- Use real spreadsheet dates rather than ambiguous text. Values such as
03/04/2026can be interpreted as either 3 April or 4 March; use an unambiguous ISO-style date such as2026-04-03when editing text dates. - Use one signed amount column: credits and deposits are normally positive, while payments, withdrawals, and fees are negative. If the source has separate debit and credit columns, map or combine them into one amount field.
- Check formula cells. OFX needs final transaction values, not spreadsheet formulas; verify that calculated dates and amounts display correctly before upload.
- Save a copy of the original workbook before cleanup. If a legacy XLS file cannot be read, open it in Excel or LibreOffice Calc and save the transaction sheet as CSV, then convert the cleaned CSV instead.

Compatibility and data limits
Keep transaction IDs stable across repeated exports. A bank-provided reference is preferable; IDs generated from changing row numbers or dates can cause duplicate imports or prevent valid transactions from importing.
Verify amount signs from the perspective of the imported account. For example, a payment can be negative in a checking-account export but positive in a credit-card statement. Confirm the first imported transactions against the source workbook before importing the remainder.
OFX transaction types are limited, so map specialized entries such as payroll, transfers, card purchases, fees, and checks to the nearest supported type while retaining the original wording in the description or memo. Spreadsheet formatting, formulas, categories, split allocations, attachments, charts, and multiple worksheets do not transfer.
Some programs accept only bank-downloaded files, require their own QFX variant, or validate financial-institution and account fields strictly. A spreadsheet-created OFX file may import as a generic statement rather than link to an online bank feed. Retain the original XLS file and the generated OFX file for reconciliation and audit purposes.
