Accounting applications such as Quicken and some personal-finance tools require QIF transaction files, while Apple Numbers stores the source data in its spreadsheet format. Converting the file is useful when transaction records must be imported into software that cannot read .numbers files.
What the NUMBERS format is
.numbers is Apple Numbers’ native spreadsheet format. Numbers creates it on macOS, iPhone, and iPad for budgets, account registers, expense reports, invoices, and other tables containing dates, payees, categories, amounts, formulas, and formatting.
A NUMBERS file can contain several sheets and tables, including formulas and presentation elements that do not belong in a transaction interchange file. On some systems it behaves like a packaged document rather than a simple text table, so accounting software generally cannot import it directly.
What the QIF format is
QIF, or Quicken Interchange Format, is a plain-text format for moving financial transactions between accounting and personal-finance programs. Records use tagged lines such as D for the date, T for the amount, P for the payee, M for the memo, and L for the category or transfer account; each transaction ends with ^.
QIF is useful when the destination program supports legacy Quicken imports but does not accept spreadsheets. It preserves transaction-oriented data in a compact, portable file, but it is not designed to retain spreadsheet formulas, cell styling, charts, or arbitrary table layouts.
How to convert NUMBERS to QIF
Use the online converter
- Open the NUMBERS to QIF converter on 101convert.com. The service can be used free without installing desktop software.
- Select the
.numbersfile from your device and start the conversion. - Download the resulting
.qiffile when processing finishes. - In the accounting application, choose its QIF import command, select the correct account type, and import the downloaded file.
- Review dates, amounts, payees, categories, and account balances before accepting the imported transactions.
Export a CSV first when required
If the converter does not identify the required table inside the NUMBERS document, open the file in Numbers and use File → Export To → CSV. Select the sheet or table containing the transactions, then submit the resulting .csv file to a converter that supports CSV-to-QIF conversion.
Before exporting, arrange the table with one transaction per row and clear columns for date, payee, amount, memo, category, and account. Remove subtotal rows, blank headings, merged cells, and formula errors. CSV export may require date and amount columns to be mapped manually because CSV has no standard accounting schema.
Quality and compatibility limitations
Conversion cannot reliably preserve multiple Numbers tables, formulas, formatting, charts, attachments, or calculated values as QIF transactions. Export the calculated results rather than formulas and select only the transaction table.
Check the QIF date convention used by the destination program, because QIF implementations may interpret two-digit years, day-month order, and month-day order differently. Confirm that negative amounts represent withdrawals and positive amounts represent deposits according to the target application.
Categories, transfers, splits, reconciled status, investment transactions, currencies, and account types have inconsistent support across QIF importers. QIF may require separate files for checking, credit-card, cash, investment, or liability accounts. Compare the imported opening and closing balances with the original Numbers register and remove any duplicate transactions before saving changes.
