A recipient, document system, or device may accept an image but not an Excel workbook, requiring a fixed visual copy of a table, chart, or worksheet. PNG also prevents accidental editing when a spreadsheet must be shared in a presentation, web page, report, or archive.

What the XLSX format is

.xlsx is Microsoft Excel's Office Open XML workbook format. It is used by businesses, analysts, accountants, students, and other spreadsheet users for reports, schedules, invoices, budgets, exported data, and calculations. An XLSX file is a ZIP-based package containing XML files and related resources for worksheets, formulas, formatting, charts, tables, images, and workbook metadata.

Microsoft Excel, LibreOffice Calc, Apple Numbers, Google Sheets, and other spreadsheet applications can open XLSX files, although complex formulas, fonts, macros, charts, and formatting may render differently between applications. VBA macros are normally stored in .xlsm files, not standard .xlsx files.

What the PNG format is

.png is a raster image format with lossless compression and support for transparency, indexed color, grayscale, and full-color images. It preserves sharp text, gridlines, and diagram edges without the JPEG artifacts that appear around high-contrast details.

A PNG stores only rendered pixels. It does not retain formulas, editable cell values, filters, comments, conditional-formatting rules, chart data, worksheet tabs, or workbook structure. The recipient can view the result but cannot recalculate or edit it as a spreadsheet.

How to convert XLSX to PNG

Use the converter on 101convert.com

1. Open the XLSX-to-PNG converter on 101convert.com.
2. Upload the .xlsx file and select PNG if the output format is not already set.
3. Start the conversion and download the generated .png file.

This option requires no spreadsheet or image software and is suitable when the workbook only needs to be rendered for viewing or sharing. Check the result when the workbook contains multiple worksheets, a large print area, or very wide tables: the output may represent separate rendered pages or images rather than one image containing the entire workbook.

Export a selected range from Excel

Excel does not normally provide a direct Save As → PNG option for an entire workbook, but it can copy a worksheet range or chart as an image.

1. Open the workbook and select the cells or chart to render.
2. Choose Home → Copy → Copy as Picture.
3. In the dialog, select As shown on screen for the current worksheet appearance or As shown when printed for print-style output. Select Picture or Bitmap when Excel offers that choice.
4. Paste the result into Paint or another image editor, then use File → Save as and select PNG.

This method gives control over the exact range and works well for a table, chart, or dashboard section. It is not suitable for preserving workbook behavior or automatically converting every worksheet.

Convert a complete worksheet through PDF

For repeatable desktop conversion, first set each sheet's print area, orientation, scaling, and page breaks. Export the workbook to PDF from Excel or LibreOffice Calc, then rasterize the PDF pages as PNG files. With LibreOffice and Poppler installed, a command-line workflow is:

LibreOffice creates output/report.pdf. The pdftoppm command, provided by Poppler, creates one PNG per PDF page, such as output/sheet-1.png. Use -r 300 instead of -r 200 for smaller text or detailed charts, but expect larger files. On Windows, the same process can be performed through the LibreOffice and Poppler graphical tools if command-line programs are unavailable.

Quality and compatibility limitations

• Output size depends on rendering settings. The selected range, paper size, scaling, page breaks, and rasterization resolution determine the PNG dimensions. A wide worksheet fitted onto one page may make cell text unreadable.
• Displayed results are rendered, not formulas. PNG conversion captures the values currently shown by the spreadsheet. Recalculation settings, missing fonts, unsupported formulas, and differences between Excel and LibreOffice can change the appearance before conversion.
• Worksheet settings affect the image. Hidden rows or columns, merged cells, filters, comments, conditional formatting, gridlines, headers, footers, and print areas may alter what is rendered.
• Multiple sheets usually produce multiple images. PNG has no workbook-level structure, so a workbook with several sheets or PDF pages generally requires one PNG for each rendered page or sheet.
• Check legibility at the final dimensions. Render at 200–300 DPI for print-oriented output, or resize for web use only after verifying that labels and cell values remain readable.
• Lossless does not mean smallest. PNG avoids quality loss but can be larger than JPEG or PDF for photographic content and large screenshots. Use PNG when sharp text, lines, and transparency matter more than minimum file size.
