A Word file may need conversion when a brochure, flyer, newsletter, label, or other publication must be edited in Microsoft Publisher. Publisher can import Word content, but it cannot reliably preserve every Word layout element as editable Publisher objects.
What the Word format is
Word documents use the .doc or .docx extension. Word creates them for letters, reports, contracts, manuscripts, and other primarily text-based documents. .docx is the current Office Open XML format; older Word versions use the binary .doc format. Microsoft Word, Microsoft 365, LibreOffice Writer, and other office suites can open or create these files.
What the Publisher format is
Publisher files use the .pub extension and are created by Microsoft Publisher. They store independently positioned text boxes, linked text frames, pictures, guides, columns, shapes, and publication-specific master pages. This layout model suits brochures, business cards, calendars, newsletters, certificates, flyers, and other designs where precise page positioning matters more than continuous text flow.
A .pub file is not a general replacement for a Word document. Publisher has limited compatibility with non-Microsoft layout software, and most online converters cannot create a fully editable .pub file.
How to convert a Word file in Publisher
Use Publisher for an editable publication
- Open the source file in Word and save it as
.docxthrough File → Save As → Word Document (*.docx) if it is still a.docfile. - Open Publisher and choose File → New. Select Import Word Documents if the option is available in your version.
- Choose the
.docxfile and set the publication type, page size, and orientation when Publisher prompts for them. - Inspect every page. Rebuild text boxes, columns, headers, footers, tables, and image placement when the import changes the layout.
- Insert missing pictures with Insert → Pictures. Use Publisher text boxes for editable text instead of inserting the Word file as a single object.
- Save the publication with File → Save As and choose
Publisher Files (*.pub).
If your Publisher version has no Word import option, create a blank publication, draw the required text boxes, copy text from Word, and insert or copy the graphics separately. This manual method usually produces a more controllable result than embedding the entire Word file.
Use a PDF for a fixed copy
When editable Publisher objects are unnecessary, export the Word document through File → Export → Create PDF/XPS or File → Save As → PDF. PDF preserves the visual page more consistently for sharing and printing, but it is not a Publisher conversion. Inserting a PDF into Publisher, where supported, adds it as an object rather than turning its text and graphics into editable Publisher elements.
Quality and compatibility limitations
Word reflows paragraphs through sections, while Publisher positions content in independent frames. Page breaks, automatic numbering, styles, tracked changes, complex tables, SmartArt, equations, embedded objects, and floating images may therefore require manual correction. Text can also overflow when fonts, margins, page dimensions, or line spacing differ.
Before printing, check text overflow, line breaks, font substitution, image resolution, page size, bleed, printer margins, and linked graphics. Package or provide the fonts and linked files when sending the publication to another Publisher user; missing fonts can change pagination.
Services such as CloudConvert and Zamzar can convert Word files to intermediate formats such as PDF, but they generally do not produce an editable .pub file. Use them only when that intermediate format is acceptable, and avoid uploading confidential documents. For an editable result, use the desktop Publisher import workflow and expect some manual rebuilding.
Microsoft has announced that Publisher will no longer be included with Microsoft 365 after October 2026 and reaches end of support then. Existing Publisher files may require a compatible desktop installation or migration to another page-layout application.

Will my Word document layout stay the same when converted to Publisher?
Not necessarily; text, tables, images, and page breaks may be repositioned in the Publisher publication. Publisher uses separate text boxes and page elements, so you may need to adjust spacing and object placement.
Can I still edit the text after converting WORD to PUBLISHER?
Yes, the result can remain an editable Publisher publication, but some content may be imported as separate objects or flattened elements. If the conversion creates a fixed PDF instead, the page appearance is preserved more reliably but the content is not fully editable.
Why is some text missing or cut off after converting Word to Publisher?
Text can be cut off when an imported text box is too small for the content or when fonts and line spacing change during conversion. Enlarging the text box or replacing unavailable fonts usually restores the missing text.
Are Word comments, tracked changes, and document metadata kept in a Publisher file?
They are not reliably preserved as editable Word features in a Publisher publication. Accept or reject tracked changes first if they matter, and check the converted file for comments, fields, and document properties that may have been removed or changed.
